Here are the new features that are now available in Golfmanager

Updated today

At Golfmanager, we’re committed to continuously enhancing your management experience. Every week, we roll out new features designed to help you work smarter and get more value from the platform. Stay up to date and make the most of what’s new! 🙌🏻

🛍️ POS Module

📄 Automatic Credit Note Creation When Voiding POS Payments

When a payment is cancelled on a fully invoiced sale, the system now generates a credit note immediately. The sale remains open for re-invoicing, removing the need to cancel it entirely. This simplifies accounting processes and enables faster, more efficient corrections at the point of sale.

🔗 Deposit Payment Links Sent from POS with Automated Communications

Deposit payment links can now be sent directly from the POS, with the email template selected at the point of sending. Once the deposit is paid, customers automatically receive a confirmation email including a link to complete the remaining balance.

A configurable reminder is also sent ahead of the scheduled play date, improving payment follow-up and customer communication.

💰 Invoicing Module

💲 Automatic Vouchers Top-Ups via Direct Debit

Periodic voucher top-ups can now be charged automatically via direct debit on the configured date. This removes the need for recurring manual payments and ensures members’ bonuses are always topped up on time. Clubs benefit from a smoother billing process and fewer missed renewals.

🔗 Payment Links for Deposits and Invoices

Payment links can now be sent directly from Golfmanager for both deposits and invoices. Customers receive an email with a secure link to complete the payment online. Once paid, the receipt is automatically marked as settled in the system, reducing manual reconciliation.

⚙️ Settings Module

📑 New Interface in the Daily Notes Module

The Daily Notes module has been redesigned with improved performance and a clearer interface. Staff can now log and review operational notices more efficiently. This makes it easier for club teams to share incidents and internal updates throughout the day.

✨ Additional Modules

⛺️ (Beta) New Camp Management Module

A new module enables integrated management of camp weeks, registrations, and payments.

Customers can book online by selecting full weeks or individual days, entering family and participant details, and completing payment through a guided flow. Temporary place holding during checkout ensures availability throughout the booking process.

📆 Online Booking Portal

📆 Monthly Calendar View

We’ve introduced a new monthly calendar view in the Online Booking Portal, allowing you to see the entire month’s availability at a glance.

Days with open slots are clearly highlighted, making it quicker to identify opportunities and optimise occupancy. This enhancement streamlines planning and removes the need to check availability day by day.

🏨 (Beta) Hotel Room Bookings from the Online Booking Portal

Players can now search for and book the club’s hotel rooms directly through the online booking portal. During the booking process, they can select stay dates and the number of guests. This streamlines accommodation management and reduces the need for manual enquiries with the club.

🎟️ Full Price Breakdown by Time Slot in the Online Booking Portal

The bookings view now displays all available booking types and prices for each time slot. Guests can clearly see and select the rate that applies to them, rather than only the lowest available price.

📸 New Image Gallery Widget

A new widget allows image galleries to be added to any section of the online booking portal. Clubs can now showcase photo collections featuring facilities, services, or promotions. This provides a more visual and engaging experience for players.

📱 Golfmanager App

🔔 Automatic Voucher Movement Notifications

The app now supports automatic push notifications for voucher top-ups and redemptions via new webhooks. This is particularly valuable for clubs integrated with external systems, where balance changes may occur outside Golfmanager

👀 More Updates for You

You can explore the sections below 🔽 to discover additional features recently added to Golfmanager. These enhancements are designed to help you get even more value from the software and stay up to date with the latest improvements.

📆 Bookings Module

  • Second Round Bookings Now Linked Automatically: When adding a second round, the system now automatically links it to the original booking, carrying over the same reference, group, and associated reservation. This keeps consecutive rounds seamlessly connected and ensures clear traceability across the booking. Particularly useful for clubs hosting multi-round groups, simplifying administration and reducing manual adjustments.

  • Removal of Blocks from the Occupancy View: Availability blocks can now be removed directly from the occupancy view without opening the detailed record, allowing staff to manage and clear blocks instantly with a single click.

  • Booking Types by Playing Format (9 Holes, 18 Holes, and Twilight): Clubs can now create specific booking types with their own pricing, duration, and availability for different playing formats, and the portal allows guests to filter by format to easily find tee times that match the round they want to play.

👥 CRM Module

  • Customer Alert Badge in Profile Header: Active customer alerts are now displayed as a prominent badge in the profile header. This makes it easy to spot key issues — such as outstanding balances, incidents, or important notes — at a glance, without having to review individual fields.

  • Client Relationship Notifications: A new module allows you to define how notifications behave when customers are linked. Connected profiles can receive updates on each other’s activity, including bookings, payments, and other actions, improving coordination and visibility across related accounts.

  • Merging Duplicate Customer Profiles: A new tool allows staff to merge two duplicate customer profiles into a single record, consolidating all associated history such as bookings, passes and invoices into one unified profile.

🛍️ POS Module

💰 Invoicing Module

  • Email Template Selector for Payment Links: When sending a payment link, you can now choose from your configured email templates. This allows you to tailor the message accompanying the link, ensuring clearer communication and a more personalised experience for your members.

🎓 Academy Module

📦 Warehouse Module

🍽️ Restaurant Module

  • Order Status Badge on the Restaurant Map: Tables with orders sent to the kitchen are now highlighted with a colour indicator on the restaurant map. The status activates automatically when dishes are sent, allowing staff to quickly identify which tables are waiting.

📊 Reports Module

⚙️ Settings Module

  • Bookings | Default Booking Type Configuration: A default booking type can now be set to apply automatically when creating new reservations. This removes the need to select it manually each time and speeds up the booking process for clubs that predominantly use the same type.

📅 Online Booking Portal

  • Booking Types and Prices Displayed on Time Slot Cards: Time slot cards in the Reservations Portal can now optionally display the available booking types and their prices, including the booking name, description, original price (struck through when discounted) and final price, helping guests make clearer decisions before booking.

  • Improved Navigation in the Booking Flow: The booking process navigation has been streamlined with a clearer text-based back link, cancellation buttons that return to the homepage with confirmation, and a simplified player identification screen for a smoother user experience

  • Hide Contacts Tab for Non-Logged-In Users: The contacts tab is now only visible to users who are logged in, preventing anonymous visitors from accessing features that require authentication.

  • Card-Style Pass Detail Redesign: Pass details have been redesigned with a credit-card-style layout that clearly displays the balance, pass name and holder information, improving the presentation and readability of key details.

  • Email Notification to Admin When a Subscription Is Purchased: Club administrators now automatically receive an email notification when a customer purchases a subscription through the Online Reservations Portal, helping teams stay informed of new sign-ups without constantly checking the system.

  • Detailed Component View in Multipacks: The multipacks page in the client portal now displays each component of the pack in an individual card, clearly showing its contents and corresponding value.

  • Breadcrumb Navigation in the Booking Flow: A breadcrumb has been added to the booking process to display each step and allow easy navigation between them, enabling users to track their progress and return to previous steps without losing their selections.

  • Add Players to Group Bookings Online: During the online booking process, the lead booker can now add the other players in the group, allowing one person to manage and confirm the entire reservation without each player needing to book separately.

✨ Additional Modules

  • Microsoft 365 OAuth Authentication for System Emails: A new module enables system emails to be sent via Microsoft 365 using secure OAuth authentication. This replaces basic SMTP authentication with token-based access and automatic renewal, ensuring compliance with Microsoft’s latest security standards while maintaining reliable email delivery.

🔗 Integrations

  • Prodefi Payment Terminal Integration: A new module integrates Prodefi payment terminals for vending machines and unattended points of sale. Manage devices, register customers, link cards, and process voucher top-ups and redemptions automatically — reducing manual handling and streamlining self-service operations.

  • Xero Integration | Invoice Export: Invoices can now be exported in a Xero-compatible CSV format. This enables direct export from Golfmanager for seamless import into Xero, eliminating manual data adjustments and saving time in your accounting workflow.

  • Vector Integration | Invoice Export: You can now export invoices in Vector format directly from the invoice list. The file is generated in the structure required by Vector-compatible accounting systems, simplifying financial data transfers and reducing administrative effort.

  • Panama Tax Integration | XML Report Generation: A new module generates fiscal reports in Panama’s required PGBXMLFE format. It includes customer RUC/DV details, CPBS product codes, and tax codes for payment methods, ensuring full compliance with local tax regulations.

  • TicketBAI Integration | Support for Individuals & Bizkaia Model 140: The TicketBAI module has been extended to support invoices issued to private individuals without a business tax ID, as well as the Bizkaia-specific Model 140. This broadens regulatory coverage and ensures compliance across more billing scenarios.

  • ATPlatform Access Control Integration: New integration with ATPlatform enables automatic synchronisation of access credentials when creating bookings and subscriptions. Supports member groups, golf visitors and parking visitors, improving access management across the club.

  • ACIGRUP PMS Integration: A new integration with ACIGRUP PMS allows club charges to be posted directly to a guest’s hotel room. Ideal for resorts and golf hotels, it streamlines operations and enhances the guest experience.

  • Redsys Integration | Improvements to In-Person Payments: The Redsys in-person payments module now automatically flags transactions as card-present for improved traceability. The cancel button has also been disabled during processing to prevent duplicate submissions and ensure payment accuracy.
