Introducción

The inventory tool will be useful to control at the end of a period the quantity you have of each item, compare it with what the program says, and regularize the differences.

As in any listing, you can use the tools to better exploit your data.

How to make an inventory

Important note: you will only be able to make the inventory of those products that have the "manage stock" option activated and with barcode.

  1. In the main menu, click on Stock.

  2. Click on Inventory.

  3. Click on New.

  4. Choose the Warehouse where you are going to carry out the inventory.

  5. Assign a Name to this inventory. For example "Inventory November Golf".

  6. Add a Observation if necessary.

  7. Click on Save. With this we will have created the "header" of our inventory and a new section will be enabled at the bottom where we can add our products.

How to add products to the inventory

To add products you can choose one of these options:

  1. Add > From search engine. You can use this option if you want to add products one by one manually.

    1. Search and select the Product.

    2. Enter the Quantity you have of this product in this warehouse.

  2. Add > From Class. You can use this option to add all products within a subfamily at once.

    1. Search and select the Class.

    2. Click on Add this class.

      Note: From here you can add all the products that have the "Manage stock" option enabled in their tab and that contain barcodes from all the classes.

  3. Add > From Excel. With this tool you can import data from Excel, which can be generated manually or with a scanner/PDA specific for this task.

    1. Search and select the Excel to import.

  4. Add > All Products. to add all products that have virtual stock but actually have no stock in the store. Choose this option only in case of a total inventory. With this option you can add all the products that have the "Manage stock" option enabled in their tab and that contain barcodes.

How to manually add products to an inventory from the search engine

  1. Clic en el ID del inventario.

  2. Clic en Agregar > Desde buscador.

  3. En el pop up selecciona el producto en el desplegable y las unidades.

How to add products from one class

When you make an inventory you must also take into account those products that the system reflects that they have stock, but actually their physical stock in the store is zero. To add these products to the inventory with 0 units follow these steps:

  1. Go to the corresponding inventory ID.

  2. Click on Add > From a class.

  3. Select in the dropdown the Class and click on Add this class to add the products corresponding to the chosen subfamily. Choose this option in case of a partial inventory.

How to import an excel file with barcodes to an inventory

To make an inventory by means of an import you have to create an excel file that collects only barcodes of the products.

To do this, open a new excel file, place the cursor in cell B1 and start reading the barcodes of the products with the scanner gun, one after the other and as many times as there are products, as you can see in the following example.

Note: The cells in column B must have a "text" format. Click on the Home tab of the excel sheet and in the Number section, select the Text format.

Once the excel is finished and saved, go to the corresponding inventory:

  1. Click on Import.

  2. Click on Select File.

  3. Select the file from your computer.

  4. Click Open.

  5. If there are any errors in the import, then the rows will be displayed with a pink background and, in the column, a message will be displayed indicating the type of error.

How to correct the errors when importing an excel file to an inventory

To make an inventory through an import you have to create an excel file that collects only barcodes of the products to be inventoried.

If there are any errors in the import, then the lines will be displayed with a pink background and, in the Error column, a message will be displayed indicating the type of error.

The two possible types of errors are as follows:

  1. The product does not manage stock: To solve this error click on the three dots and select Manage stock or Delete.

  2. Associate a product to this barcode: To solve this error click on the three dots and select Find product, Create product or Delete.

How to add products from the option "All Products".

With this option you will be able to add all the products that have the "Manage stock" option activated in their tab and that contain barcodes.

To add all the products that have virtual stock but actually have no stock in the store. Choose this option only in case of a total inventory.

A popup window will indicate how many products have been added or will warn us in case there is an error.

To add all products to an inventory follow these steps from the Main Menu > Stock > Inventories:

  1. Click on the inventory ID.

  2. Click on Add > Add the Products.

  3. And all the products with stock will be added.

Lines of an inventory

Once the products have been added we will see:

  1. ID: Unique identifier of this product in Golfmanager.

  2. Product name.

  3. Barcode of this product.

  4. Count or number of units that we have of this product in this warehouse. This quantity can be modified manually and by pressing "Enter" on the keyboard, the difference will be updated.

  5. The theoretical quantity of this product in this warehouse according to the system.

  6. Difference between the counted quantity and the system theoretical quantity.

  7. Class of the product to help in listings and filters.

  8. Product Department to help in listings and filters.

  9. Error. Shows any warning in the inventory of this product (no barcode, etc.).

    Note: we can delete a product from this list by selecting it and pressing the Delete button.

Importing inventory lines from Excel

  1. Prepare an excel spreadsheet with the following columns:

    1. inventoryId: ID of the inventary

    2. Producto: ID of the product

    3. Código de barras: bar code of the product

    4. Conteo: The number of products counted

    5. Estado: 1 (in the process of regularization)

  2. Make sure the file is saved

  3. Within an inventory ID

  4. In the Lines section, scroll down to the bottom.

  5. Click on the 3 dots > Import from Excel

  6. Choose the previously saved file

  7. In the first column, select Inventory from the drop-down menu

  8. Click on the Import button

  9. Click on Update theoretical quantities

    IMPORTANT. The stock list or the product list can be used to obtain an excel file with product ID and barcode information.

How to regularize an inventory

Once we have the differences clear we can optionally:

  1. Update Quantities, to regularize the selected lines, or

  2. Update all Quantities to regularize all the lines of this inventory with differences.

    At this point the system will create some warehouse movements of type "Quantity's update" to leave the quantities of each product according to our last count.

How to view the movements of an inventory

From the 3 dots, we will be able to see only the Stock movements that this inventory and its regularization have created. The system will take you to the list of stock movements with the filter of this inventory incorporated.

FAQ

Is it possible to do an inventory from 2 computers at the same time?

You can make an inventory from 2 computers and with 2 different guns or you can make an inventory for each subfamily from each computer.
