Getting Started with Tasks

Tasks is a powerful feature in Golf Genius Golf Shop that helps you streamline your operations by centralizing and managing all your tasks. Tasks are here to revolutionize how you organize and prioritize your daily operations. This feature offers a powerful task management tool that helps you stay on top of everything, from returning customer phone calls to completing inventory audits. Some of the benefits of using Tasks include:

  • Increased Efficiency: Streamline task management and improve workflow by centralizing all tasks in one location.

  • Enhanced Communication: Keep your staff informed and aligned with automated notifications and task updates.

  • Reduced Errors: Minimize oversights and ensure deadlines are met with reminders and task tracking.

  • Improved Customer Service: Tag customers for tasks, ensuring a seamless customer experience.

In this article, we will walk you through the key features and functionalities to help you get the most out of Tasks.

Adding Managers (Staff) to your Golf Shop Account:

When using Tasks, you will want to add all your staff members you will be assigning Tasks to your Golf Shop account. Here are a couple of articles to help assist you with that:

  • Add Managers: To assign task to staff, you will need to add them as managers. For Complete details on account manager administration, Click Here.

  • Set Managers Permissions: To ensure your staff have access to right areas of Golf Shop, set their permissions.

Tasks General Settings:

The Task General Settings comprise the default settings for Tasks. When creating new tasks, these settings are used as the defaults:

  • Task Tags

  • Staff Groups

  • Default Due Time

Task Process:

Every task goes through a process as they are created. Below is a summary of the process:

  1. Creating a Task: When you need a task completed, add it to your Task Dashboard via the computer or mobile app (coming soon). When creating a new task, you can give the task a name and due date, assign a group/person, tag a member, and more. When setting a due date and assigning a group/person, Automated Email and Automated Text Message notifications will be sent to ensure the assignee knows they have a task.   2. Accepting a Task: When a staff member is ready to work on a task or wants to accept a task sent to a group, they can accept the task to identify that they are aware of the task and will complete it. For more details on this step, Click Here.

  3. Complete a Task: When a staff member is ready to complete a task, they can mark it as completed, and it will be moved to the "Recently Completed" task on the dashboard. For more details on this step, Click Here.

Viewing Tasks (Tasks Dashboard):

To view existing tasks, go to Staff > Tasks > Dashboard. Current tasks are listed by priority and then the date (as shown below), highlighting the most important task first, followed by all tasks listed by the expected due date.

Editing Existing Tasks:

You may need to edit the information for a task. For instance, you may change the due date to allow more time to complete a task. To edit a task, go to Staff > Tasks > Dashboard, click the action dropdown icon, and click "Edit" (as shown below).

Viewing Recently Completed Tasks:

To view recently completed tasks, go to Staff > Tasks > Dashboard. Scroll to the bottom of the page (as shown below).

Completed tasks will stay on the dashboard for 24 hours under the Recently Completed section. Additionally, completed tasks are shown with a filled circle icon. Click the circle icon to revert any completed task to an active task.

  • Permissions Control: Control manager access to Shop Tasks, including task entry, editing, and permissions.

  • Daily Snapshot: View your due or overdue tasks directly within the Daily Snapshot for a quick overview.

  • Mobile App Integration (Coming Soon): Manage your tasks on the go with our mobile app.
