Conflicting Booking Alert

Catch a double booking before it happens — a heads-up at booking time, without getting in your way.

WHY WE BUILT THIS

In some instances, customers may not remember they already have a booking for a specific pet and attempt to schedule another reservation for the same pet over overlapping dates.

To help catch those conflicts earlier, Goose now runs an overlap check during the booking flow. If a pet already has an active reservation over any shared dates, a modal surfaces the potential conflict and links directly to the existing booking.

The alert gives your team a clear heads-up before proceeding, while still allowing the booking to continue when the overlap is intentional.

WHAT IT MEANS FOR YOU

Catch conflicts as you book. The moment you continue, the system checks each pet for an existing active booking over overlapping dates — so a duplicate gets flagged before it’s created, not after.

Land on the right invoice fast. The alert links directly to the Payments page for the conflicting reservation, so your team can review what’s already on the books without hunting for it.

Stay in control. This is a warning, not a hard block. When the second booking is intentional, “Book Anyway” lets you proceed — the check adds a safety net without slowing down legitimate work.

Know exactly which pet. On multi-pet reservations, the check evaluates each pet on its own and the modal names the one with the conflict — no guessing which pet triggered it.


HOW IT WORKS

The check runs when you click Continue from the booking flow. For every pet on the reservation, it looks for an existing active booking that overlaps the new dates. If it finds one, you get a modal; if not, you continue straight to payments as usual.

1. When a conflict is detected

A modal appears summarizing the conflict and naming the affected pet, with a link to the Payments page for the conflicting invoice. You get two actions: Review Dates to go back and adjust, or Book Anyway to proceed with the booking as-is.

2. When there’s no conflict

Nothing changes. If no pet on the reservation has an overlapping active booking, the flow continues to the payments page exactly as it does today — the check runs invisibly in the background.

3. Handling multi-pet reservations

The check evaluates each pet individually. If one pet has an overlapping conflict and the others don’t, the modal fires for the conflicting pet and identifies it by name. You can review that one pet’s conflict and still proceed with the full reservation.


A FEW THINGS TO KNOW

  • The check fires only when every condition is met: the same pet, overlapping dates (any single shared day counts — not just exact start/end matches), and an existing booking that is active and a visit (Boarding, Daycare, Grooming, Training). If any one isn’t met, no modal appears.

  • It flags across services, not just matching ones. A pet with an active boarding stay will still trigger the alert when you book an overlapping daycare — the check is scoped to visits, regardless of service type.

  • Cancelled and voided bookings are excluded, so they won’t cause a false positive. If a conflict appears against a booking someone believes is cancelled, verify its actual status in the system first.

  • “Book Anyway” is not reversible by the system. If it’s used and a real duplicate results, that’s a manual cleanup — locate both invoices and follow the standard cancellation/refund process. There’s no automated de-duplication.

  • It only runs at booking time, going forward. There’s no retroactive scan of existing reservations, and the check does not fire when scheduling an in-stay invoice — only within the booking flow.

  • It surfaces the conflict; it doesn’t resolve it. The alert links you to the relevant invoice, but there’s no auto-fix or rebooking suggestion — resolution is manual by design.

  • The same check will happen on the pet owner booking so they know when they’re trying to make a booking but already have one.

No action needed

Adding a separate room or visit for another pet

When pets need their own space, create a new invoice within the same order directly from the payments page. Dates pre-fill automatically.

HOW IT WORKS

From the Payments page, use the Add Pet prompt to create a new invoice within the same order — giving a different pet their own room and offer.

You’ll be prompted to select the pet(s).

Then you’ll go through the standard booking flow with dates pre-filled from the existing reservation. Available for all services except daycare.


A FEW THINGS TO KNOW

  • All edits must be made before check-in. Once a reservation is checked in, pets can no longer be added or removed.

  • Adding or removing pets won’t automatically update pricing. The system will prompt you to review and confirm your offer selection — always do this before saving.

  • Pet Perks are auto-removed when a pet is removed. Room Add-Ons are not — review these manually to avoid unintended charges.

  • Adding a pet to a separate invoice does not work for daycare as Goose does not support different invoices for different pets.

  • Merging two separate invoices into one is not supported. To combine pets into one room, cancel the separate invoices and re-add pets to a single reservation. To split pets into separate rooms, remove a pet and use the Add a Separate Room flow from the Payments page.

  • Add & removing pets will not touch deposits.
