0:01 – Automations are one of the most exciting features of Grayscale. An Automation is a text that is triggered to be sent by a specific action you complete in success factors There are two main use cases that we see people use automations for a stage change or a candidate hired or rejected I'll show you how

0:19 – to set up a stage change automation First you'll want to give your automation a title for example new application customer support manager Since I'm a Grayscale admin the job filter defaults to all jobs.

0:33 – Most people set up automations just for the jobs they're recruiting for, so I'm going to start using the requisition ID for customer support manager and then choose the event that triggers this automation.

0:44 – For this one, we'll do stage change, then filter on only for a specific stage and choose new application stage. Next, we'll choose when to execute this automation.

0:57 – You can choose immediately or no wait, one day, two days, etc. For this one, we'll choose no wait. And Grayscale will automatically send this as soon as the candidate changes stages and moves into the new application stage.

1:12 – To craft your message, you have access to the job name contextual snippet, along with your profile snippets, sender snippets, and saved links.

1:21 – So for this, we'll say, hey, first name, thanks for applying for the job name. We've received your application and we'll be in touch with next steps shortly.

1:31 – Sign with our first name and don't forget to add your opt out language. So we'll add, feel free to reply stop if you'd rather an email instead.

1:42 – The final step is to add followers to be notified when a candidate does respond and then click save. Once the candidate's stage changes to the criteria set above, the automation will be triggered to be sent out.

1:55 – You can set up as many automations as you want to make your life just a little bit easier. And at any time, you can click on the three dots on the right hand side of the automation and edit, pause, or archive the automation.
