Deactivate Employees in Greenius

Deactivate one or many employees to manage seasonal or laid-off staff while preserving their training history and freeing seats.

Overview

Deactivating an employee is a simple process that helps manage seasonal staff or employees who have been laid off. In Greenius, the terms deactivated, inactive, and archived all refer to the same employee state. When you deactivate an employee:

  • When you deactivate an employee:

    • Their Training ID and training history are preserved, but they will not appear in Greenius reports while inactive. If you need their records for an audit, reactivate them first, then run the report.

    • They lose access to the training portal, Tailgate Talks, and 15 Minute Reviews

    • The deactivated seat becomes available for reassignment

    ⚠️ Note: Freeing a seat is not the same as lowering your bill. Deactivating an employee makes the seat available to reassign, but the number of seats you purchased stays the same until you change it under Settings > Manage Subscription. Annual and tiered plans can only reduce seats at renewal.


Deactivate an Individual Employee

  1. Log in to your Greenius account and go to Employee Training > My Employees

  2. Find the employee in your list (or utilize the search bar at the top-left)

  3. Click the employee’s name (not the checkbox)

  4. In the pop-out menu, click Tasks, then select Deactivate.

When you Deactivate an employee:

  • The employee will be locked out of the system

  • Training records will remain on file for potential reactivation

  • Review the notice about adjusting your seat count if applicable. Deactivating frees the seat, but your purchased seat count only changes when you update it under Settings > Manage Subscription. In some accounts this page is labeled Subscription & Seats.


Deactivate Multiple Employees

This option is ideal when you need to deactivate several employees at once.

  1. Click Employee Training > My Employees

  2. Use the checkboxes to select all employees you want to deactivate

  3. Click More > Deactivate Employees

  4. Click Deactivate to confirm. A popup will confirm that the deactivation was successful.
