Using the Retail Orders Feature

The Orders feature in Groovio, under Retail > Orders, allows you to view and manage previous orders placed by students. This feature provides control over order processing, status tracking, and notifications, making it easy to keep track of each step in the order fulfillment process.

Viewing and Managing Orders

In the Orders view, you can see a list of all past orders, with details including:

  • Purchased By: The name of the student who placed the order.

  • Order Status: A dropdown menu showing the current status of the order. All orders start as Pending and can be updated to Accepted or Rejected.

  • Tracking Status: Tracks the progress of the order. Initially set to Pending and updates based on the order status.

  • Amount: Total order amount.

  • Order Number: Unique identifier for the order.

  • Payment Type: Indicates the method of payment.

  • Payment Status: Shows whether payment has been completed.

  • Date of Creation: The date the order was created.

Processing an Order

  1. Accept or Reject: When an order is accepted, the Tracking Status changes to Order Confirmed. This triggers an email notification to both the student and the studio.

  2. Update Tracking Status:

    • After confirming, you can update the tracking status to Ready for Pickup or Studio Cancelled, based on the order’s progress.

    • Once an item is marked Ready for Pickup, the status can then be updated to Collected once the student picks up the order.

Viewing Order Details

To view full order details, click View next to an order. This brings up a detailed order summary including:

  • Purchased By: Displays the student’s name, email, and phone number.

  • Order Number: Unique identifier for easy reference.

  • Transaction ID: The transaction ID from Stripe for payment verification.

  • Amount: Total order cost.

  • Sub Total: Amount before taxes.

  • Tax: Applicable tax amount.

  • Payment Status: Indicates if payment was successful.

  • Payment Type: The method of payment used.

  • Order Status: Shows the current status of the order.

Additionally, the Product Details section lists each item included in the order.

The Orders feature in Groovio streamlines the management of retail purchases, ensuring efficient tracking and communication with students throughout the order process.
