The Waivers & Policies feature in Groovio, located under Admin Settings > Waivers & Policies, provides a space to add important terms, waivers, and policies that apply to your studio’s operations and student agreements.

1. Finger Signatures

  • All waivers and policies require a finger signature.

  • Signatures are automatically stored on file along with the date and time the agreement was signed.

2. Child Accounts

  • Any children added to an account are also required to sign a waiver.

  • This process is fully automated when a child is linked to a parent account.

3. Re-signing Existing Waivers

  • All students (and their attached children) have been prompted to re-sign their waiver.

  • The new signature will be saved directly to their profile.

4. Creating Waivers & Policies

  • Navigate to Admin Settings > Waivers & Policies to create and manage multiple waivers and policies.

  • Policies can be made optional (e.g., a Photo Release).

  • If an optional policy is signed, you can display an emoji next to a student’s name on class bookings.

    • Example: A 📷 emoji can appear for students who signed a Photo Release.

5. Agreements on Memberships & Services

  • You can now attach agreements directly to memberships, packages, or services under Manage Studio.

  • This ensures students acknowledge all required agreements before using your offerings.

6. Individual Waivers & Policies

  • From a student’s profile, click on Waivers & Agreements to view what they’ve signed.

  • You can also create and assign individual waivers/policies directly to that student if needed.

Benefits of the Overhaul

  • Stronger compliance: Every student and child is covered with a signature.

  • More flexibility: Optional policies with visible indicators make it easy to track consent.

  • Simplified management: Centralized controls for administrators under Admin Settings.

  • Better visibility: Agreements are clearly linked to memberships, services, and student records.
