Overview of mass bookings
This feature streamlines repetitive tasks like booking training for multiple personnel and recording their completed training. With bulk actions, training management is faster and more efficient.
A new Bookings tab puts all of your bookings together in one place.
The Bookings tab has three sections:
Upcoming bookings: displays all future training sessions;
Past bookings: tracks completed training sessions (with training dates in the past);
eLearning: shows future eLearning bookings (past eLearning sessions are automatically recorded).
Who can use this feature?
Access to the bulk actions feature depends on your role and permissions:
Plans
🏘️ Training Register plans: included for customers on the Standard Training Register plan and above. Not included on the Bolt-on plan.
User permissions
👩💻 Personnel editor, division admin, and account admin/owner: Full access to the feature.
👷♂️ Team managers: Can make and manage bookings, but only for personnel in their team(s).
👷♂️ Line managers: view booking for their direct reports.
Mass-booking training
In the Bookings tab, you can mark training as booked for multiple personnel at once. If you use eLearning, you can also mass-enrol people simultaneously for an eLearning course.
Creating a booking (regular or eLearning)
Click Add Booking in the top-right corner.
Choose a course: search for a course from your course library.
Enter booking details:
Training date: when the training is taking place.
Booking notes (optional): info and instructions to participants.
Add personnel to the booking: search names to add participants.
📨 An email with the booking details is sent to all personnel and their line managers.
How the list of personnel available for a booking is created
When creating a booking, you'll see a specific selection of personnel that can be booked for that course. Personnel will only show in the search results list if all of the below apply:
The course is assigned to the personnel, and;
You have access to manage their personnel profile, e.g. you're the Team manager, and;
The personnel belongs to the division you're logged in to.
What to do if a personnel isn't showing in the search results?
If the course isn't assigned to the person, or if they are not someone you have access to manage, they won't show up in the search results for the booking.
If the course isn't assigned: head to their personnel profile. You must assign the course to them either as additional individual training, or via their role, before you can book them in for training.
If you have multiple divisions: you can book personnel from all divisions in your home division. Otherwise, you can only book the personnel for the division that you're currently in. Double-check which division you're in if you're not getting the expected list of personnel!
Check your permission: ask your account admin to verify that you have access to manage the right list of personnel.
Managing bookings
Editing bookings
You can manage and amend existing bookings in the tab.
In the Bookings tab, open the relevant booking by clicking on its row.
Select Edit Booking.
You can change:
Training date: reschedule the event
Booking notes: change instructions
Personnel included: add or remove participants
Choose whether to notify via email:
Everyone in the booking, or;
Only newly added or removed personnel.
Note: you cannot edit past bookings.
Removing bookings
You can remove previously created bookings if they are no longer required:
Open the booking you wish to remove by clicking on its row.
Select Remove Booking.
All personnel (and their line managers) will be notified via email about the removal.
Sending reminders
Open the booking you want to remind personnel about by clicking on its row.
Select Send Reminders.
All personnel booked for that training will receive a reminder email.
Recording training
🚨 To mass record training dates, a booking must first exist for the group on the ‘Bookings’ tab
In order to record training, you have to create a booking first or locate a past booking.
Navigate to the Past Bookings tab
Bookings with training dates in the past appear here automatically.
Find the relevant training session and click Record Training.
Update details:
Add training expiry dates;
Refine the list of personnel to include only those who completed the training (remove personnel who didn’t attend by clicking the X next to their name).
