Training status and notifications

How and when you get notified of expiring, expired or missing training

Summary: HandsHQ Training Register sends you regular emails when required training is about to expire, meaning you will never miss any training again. The system also colour-codes the training status within the personnel section. This can be customised on a course-by-course basis.

The following email types are sent:

  • Weekly summaries and expiry

  • Daily summaries and expiry

  • Booking confirmations and reminders

  • Personnel allocation limit reminders

  • eLearning credit limit reminders

Training Register email types explained

We send weekly updates about the overall status of your personnel training records, as well as individual emails about specific certificates and courses expiring.

Note: you will only get notifications for required training. All training courses added via a role are automatically marked as required. Additional training can also be individually marked as required under the 'actions' section in a personnel profile.

Weekly email summary

Summary of training for that week, all bookings for that week and all expiring that week:

  • Sent every Monday morning at 6 am

  • Sent to all personnel editors, admins & owners

Daily email for expiring training

Only sent daily if there is any required training that is expiring on the following occasions:

  • 60 days time OR whatever custom days you set (see below)

  • 30 days time

  • Tomorrow

  • On the day of expiry

Sent to personnel editors, line managers, team managers, admins & owners

60 days before training expiry (or custom)

30 days before training expiry

1 day before training expires

On the day training expires

Individual training emails

Sent to each individual personnel or sub-contractors with their own training which will expire soon (and whether or not they have training booked) on the following occasions:

  • 60 days time OR whatever custom days you set (see below)

  • 30 days time

  • Tomorrow

  • On the day of expiry

Booking reminders

Reminder emails for any upcoming training booked in are sent to the individual, their line manager, and any personnel editors on the following occasions:

  • 3 days ahead of booked training

eLearning booking reminders are sent out every two weeks if the course hasn't been taken and can be manually resent if needed.

eLearning passed emails

Once a personnel has completed their eLearning course, the individual and their line manager will be emailed to let them know they passed.

Manage email notifications

You can configure notifications in Settings. There are two spaces to manage the emails sent:

  1. Individual settings for your account

    • In Settings > Profile

  2. Division-level settings for expiring training

    • In Settings > Personnel and training

Configure your own notification settings

You can opt-in or opt-out of some email types in Settings > Profile. This will only apply to your login.

  • Daily summary notifications (expiring training)

  • Weekly email reports (expiring training)

  • Booking notification for people you're booking

For example, if you don't deal with training but you're a RAMS admin, you might want to disable these emails.

Division-level settings

Notifications for expiring training can be managed in Settings > Personnel and training. Only admins can manage these settings.

You can choose to send the expiring training emails (the daily summary emails) to:

  • Line managers (the person managing the person whose training is expiring)

  • Employees (email the person whose training is expiring)

  • Sub-contractor (email sub contractors when their training is expiring)

Multiple division accounts

The settings for Personnel & Training are division-specific. You will need to set it for all divisions you're using the Training Register in.
