New account management interface introduced (June 2021)

Managing users and personnel across divisions has been simplified with one of the biggest overhauls of account management to date

As our customers grow, adding more users and divisions to their HandsHQ accounts, we decided to make complex accounts simpler to manage. Redesigned and streamlined, user settings, divisions and personnel are now simpler to manage across your HandsHQ account.

User management made easier

The improvements to the user management gives admins a better oversight and understanding of who can do what, and where. Here's what the update brings you:

Manage all users in one place

?Problem: users were only visible in the division they were first added in, making it difficult to manage them across the account.

✔️ Solution: account administrators can view and manage all users in one place - just go to the Settings page in the primary division (marked with 🏠). This gives full visibility of the people who can access your account, and what level of access they have. You can also filter the list by division access.

Converting personnel to users

?Problem: users couldn't be added if their email was used in a personnel profile. Bye, bye, 'Email already in use' - this error is now in the past!

✔️ Solution: personnel can now be converted to users. Just type in their email when adding a new user, and their information will automatically be pulled through.

User permissions expanded and made division-specific

?Problem: user permissions were static across all divisions users had access to. E.g. a user who was set as a personnel editor, had this permission across all their divisions.

✔️ Solution: user levels and permissions can be tailored to each individual division they have access to, making it fully customisable.

Other updates to the Users section

  • Filter users by division

  • Labels introduced to give quick overview of who is account admin and owner

  • New levels of account administrator, division administrator and personnel viewer introduced

We are working on further updates to account management, and plan to release an 'Admin console' feature for accounts with multiple divisions later this year.

Note: the 'Users' section is located within the Settings tab. Only account/division admins and owners can access and manage users.

Multiple users are only available on Pro and Enterprise plans.


Division navigation improved

For accounts with multiple divisions, it's now easier to navigate between them and manage users across them.

Search 🔍

Simply click and type on the top-left division menu to find the right division in the dropdown. This helps speed things up if you have a long list to scroll through.

Primary division 🏠

The 'main' division on your HandsHQ account is now indicated with a house symbol in the division menu.

The Primary division is where you now add, manage and edit all users across your HandsHQ divisions. It's also where you can see all personnel added across your account.


Personnel email use simplified

  • Different organisations using HandsHQ can use the same personnel email - great if you're working with a contractor who has served another HandsHQ customer previously

  • Convert personnel to users directly in HandsHQ (see above)

  • Switch the division a personnel belongs to


Settings clarified

The Settings section is now split into more logical categories. Previously all under the 'Profile' section, this is now split into:

  • Profile: edit your details (name/email)

  • Business details: add logo, change company name and address

  • Content categories: select which categories of work you want to be available when creating RAMS - great if you're only using a few of our trades

ℹ️ Note: some sections of the Settings page may not be visible to you, depending on your account level and access permissions. Only account administrators can see the complete Settings options.
