Custom personnel fields

Record specific information about people in your HandsHQ personnel library

Summary

Personnel fields are associated with any personnel who has been added to your HandsHQ account.

Fields are visible on a personnel's details (in the Personnel Library or Training Register) and can also be viewed when adding a personnel to a project. by clicking on the profile icon next to their name.

  1. Edit custom personnel fields by going to 'Settings' and clicking on the 'Personnel' section'

  2. Control which users can field using by restricting visibility

Please note: For those of you that use our Training Register product - a personnel's details, including any custom fields, will NOT appear on downloads of any training records.


Getting started

You can find/edit your business's personnel fields by going to 'Settings' and 'Personnel'

Please note - You will only be able to view this area of your account settings if you are the account owner or account administrator

If you are making edits to the personnel fields for the first time you will see a table similar to the one above.

There are 4 default fields:

  • CSCS number

  • JIB number

  • NOCN number

  • Phone

These default fields cannot be deleted from this table but if they are not ticked will not appear in your account's personnel records.

You have the option to include fields or not using the tick boxes on the left.

Reordering personnel fields

The order in which the fields appear in the settings table will be the same as when they are displayed elsewhere on the account.

To reorder the fields whilst in settings by hovering to the left of the field name and clicking and dragging on the dots that appear there.


Adding custom personnel fields

To add a new custom field to your account click on the button labelled 'Add custom field' on the right-hand side.

This will bring up a side panel where you can name a new field and assign a field type and visibility to the field.

You can have as many personnel fields as you need.


What does Visibility mean?

For any custom personnel field, you can choose whether the data is visible or restricted.

Restricted - this means that only account owners and users with the 'Personnel editor' permission can see the information recorded in that field

Visible - anyone viewing personnel records (including Personnel viewers) can see the information recorded in that field

These restrictions will apply whenever someone views a personnel's details - both within the main personnel library or through a project they have been added to.

In the examples below the custom field 'Next of Kin' has been set as 'Restricted' visibility.

Example 1: An account owner/personnel editor viewing the personnel's details on a project page

Example 2: A standard user viewing the same page (Next of Kin is not visible to them)


Editing/Deleting a personnel field

The 3 ... under the 'Actions' column allow you to edit an existing field, toggle restricted visibility easily and delete a personnel field.

Deleting a field:

Non-default fields can be deleted. Deleting a field will delete all data that has been typed into that field for any personnel.

You will get a warning message. Please be aware deleting a field and its data cannot be undone.

You can't delete any of the fields marked 'default' but you can delete all data associated with that field.
