Harbiz launches a new functionality designed to help you manage your clients’ vouchers more efficiently. With this update, managing reservations and cancellations becomes much easier, helping you avoid mistakes and improve your clients’ experience.
1. What’s new with this improvement?
Avoid errors and voucher losses
If you manually book a client into a session, you can now redeem their voucher directly from the session—no need to leave the session or go to their profile.Save time with a more intuitive and faster process
If the client doesn’t have any vouchers available, you can access your shop or the client’s profile directly from the session to assign one.More visibility over the voucher status of each client
Now you have better control and visibility: you can easily see in the session which clients have a voucher redeemed and which do not.Clearer voucher management in case of cancellations
You’ll also have more control over voucher returns in case of cancellation, with clear options to decide whether to return the voucher or not.
💡 Remember: Automatic sessions packs assignment still works as usual for bookings made by the clients themselves. This improvement applies specifically to cases where you, as the professional, manually add clients to a session.
2. Voucher statuses in the session
In the session, you'll see the list of clients directly in the event details, along with whether a voucher has been redeemed for the session.
There are two possible statuses:
With voucher redeemed
No redeemed voucher
3. Manual bookings in the session
When you manually add a client to a session, you’ll see directly in the event details that the client is marked as “No voucher redeemed.”
To redeem their voucher from the same session screen, simply:
Click the voucher icon.
Select one of the client's available vouchers.
Review and confirm the information.
Click Redeem voucher.
4. How to manually add a client to a session
To manually add a client to a session:
Go to the corresponding session.
In the Book for cliente search bar, type the client’s name.
Click on their name when it appears in the results.
Select Book to add the client to the session.
5. What happens if my client has no available vouchers?
If you manually book a client into a session and they don’t have any available vouchers, you can now manage this directly from the session.
You’ll see the option to choose between:
Going to your shop to assign them a new voucher.
Going to their profile, where you can also assign one.
Book without redeeming a voucher
This allows you to take action immediately, without leaving your workflow, and ensures the client is correctly linked to the session with a valid voucher.
💡 Remember: this behavior only applies if the session was created with a voucher requirement.
6. Voucher refund upon cancellation
When a client cancels a session, the voucher used is managed and refunded to ensure it isn’t lost, maintaining a smooth experience for both you and your client.
✅ If the original voucher pack is still valid:
The voucher will be automatically returned to that same pack.
⛔️ If the original voucher pack has expired:
A new individual voucher will be created in the client’s profile with the name“Voucher refund.”
This new voucher will:
→ Have the same session type as the original
→ Be valid for one session only
→ Allow you to set the expiration date when it’s created
Additionally, as a professional, you can cancel a client’s reservation directly from the session screen. In this case, if the voucher is no longer valid, you’ll see a message like this:
“The voucher used for this booking no longer exists. Do you want to create a new voucher?”
Here you’ll have two clear options:
Cancel reservation and return session
→ A new voucher will be automatically created for the client.
Cancel reservation without returning session
→ The client will not receive a refund voucher.
7. Cancellation policy
🚨 Important: The automatic voucher refund will only occur if the client cancels within the time limit set by your cancellation policy. You can review and edit this policy by going to:
Account Settings → Configuration and Settings → Session Booking → Cancellation Limit.
8. Visibility of redeemed sessions
From Client Profile → Information → Plan and Products, you still have full visibility of the client's voucher usage. However, the process is now more streamlined and accessible directly from the sessions.
