Settings: Session Booking and Cancellation

In Harbiz, you can customize how your clients book, cancel, and receive reminders for their sessions, adapting the system to suit your way of working. Below, we explain the available options and the impact of each setting.


1. How far in advance can clients book sessions?

You can set how far in advance clients are allowed to book sessions through the app:

  • All future sessions: Allows bookings without any date restrictions.

  • Only sessions for the following week: Clients can only book sessions scheduled for the upcoming week.

  • Only sessions for the next day: Bookings open only 1 day in advance.


2. How late can clients book a session?

You have two options:

  • Set a time limit in minutes before the session: For example, if you set it to 60 minutes, the client can book up to one hour before the session starts.

  • Allow last-minute bookings: Clients can book right up until the session begins.


3. How late can clients cancel a session?

You can set a time limit for cancellations without losing their spot or session credit:

  • Set a time limit in minutes before the session: For example, if you set it to 1440 minutes (equivalent to 24 hours), the client must cancel at least one day in advance.

  • Allow last-minute cancellations: Clients can cancel right up until the session starts.

With this setting enabled, clients can only cancel up to 1440 minutes (24 hours) before the session begins. If they cancel after this period, their spot will be released, but the session credit will be lost.


4. What information can clients see about other attendees?

You can choose the level of visibility your clients have:

  • See only the number of booked spots: Clients will see how many spots are already reserved.

  • See the list of attendees (using pseudonyms): Clients can view a list of attendees, but names will be displayed as pseudonyms.

  • See no information about bookings: Clients won’t see any details related to who has booked or how many spots are taken.


5. Do your clients receive automatic reminders one hour before the session?

You can enable automatic reminders via email and push notification:

  • Yes, with email and push notification: Clients will automatically receive a reminder one hour before the session.

  • No, you prefer to notify them manually: Reminders will not be sent automatically.


6. Does the organizer receive email notifications when clients book a spot?

You can choose whether to receive an email when a client makes a booking:

  • Yes, receive reminder email: You’ll get an email notification every time a client books a session.

  • No, you prefer to check the calendar: No emails will be sent; you’ll review bookings directly in your schedule.


7. ¿Recibe el organizador notificación de cancelación de la reserva por email?

Puedes recibir un email cuando se hagan una cancelación:

  • Sí, quiero recibir un email con el recordatorio

  • No, prefiero revisarlo en la agenda
