How to review and export shared conversations

This article explains how to review and export conversations that have been shared from an extraction to the Hearsay web portal.

This article covers how to access, review, and export conversations that have been shared from a completed extraction. It includes instructions for logging in, opening the case, reviewing shared threads, using search and annotation tools, and exporting messages with metadata, deletion reports, and activity log documentation.


How to review and export shared conversations

Step 1: Log in

When custodians share conversations from an extraction, the account holder that created the extraction code will receive an email once the shared conversations have been uploaded and are ready for review and export.

Go to usehearsay.com/login and log in to your account.

Step 2: Select case

Click the case linked to the extraction code to open it and review the shared conversation(s).

Step 3: Review Conversations.

  • On the left side of your screen, you’ll see only the conversations the client has shared — not their entire phone.

  • If multiple conversations are extracted, navigate between them by clicking the conversation name in the panel.

  • Use the keyword search bar at the top to find specific terms within the conversations.

  • Use the annotation tools on the right to create tags, add comments, or build collections.

Step 4: Export

From the Timeline review tab, click New Export in the top right corner.

Select the conversation(s) you want to export and your desired format.

(Optional) Set a date range to limit what’s included. For example, if a conversation spans three years but

Use Advanced Settings to customize your export. Click Export to generate the file.

Once processing is complete, click Download.


Export details

If multiple conversations are exported, each is saved as a separate PDF and bundled together in a ZIP file. If only one conversation is exported, you’ll receive a single PDF (no ZIP file).

The PDF cover page includes participant names, message count, and date range.

All messages are stamped with metadata: contact name, phone number, date, and time.

Pictures appear as thumbnails (these can be toggled off in settings). Videos do not play in a PDF. The exported chat will show a message bubble that says Sent a video.

Edited Messages

If an iPhone message was edited, you can view both the original and updated versions, along with both sets of metadata.

Deletion Reporting

Multiple types of deletion reporting are available.

  • Messages recently deleted on the iPhone may be recovered from the device’s deleted folder.

  • Permanently deleted messages cannot be recovered.

  • Reports will indicate if any messages were deleted during the date range of the conversation being reviewed.

Export Media Attachments in Original File Format

All media — including pictures, videos, voice memos, and attachments — are included.

  • Videos can be played directly within the portal.

  • Click the cloud icon next to any media file to download it in its original format.

  • Original metadata is included for pictures and videos.

Data Chain of Custody Reporting

An on-demand chain of custody report is available to download with each extraction. Every step of the extraction process is logged for audit and reporting purposes.
