Emailling Out of Injury

Details relating to sending emails out of Solv

There are a few different ways to send an email from an Injury record in the Solv system; these will be detailed below. The functionality of the Email Out page is fairly consistent regardless of how you access it.


Email Out Page

To, CC and BCC

In the To, CC and/or BCC fields, add email addresses that the email needs to be sent to from the dropdown list of contacts or by manually typing in an email address. When typing an email address in, select Enter on your keyboard for this to register.

Subject

The email subject will prepopulate based on the Email Template being used, but can be edited as required.

The Injury ID (e.g. ABC-INJ-123) needs to be included in the subject line in rounded brackets if this email is being sent to Notes to ensure it is saved correctly.

Attachments

A list of available attachments from within the Injury record that can be selected to be included in the email. Please be mindful of the size limit listed in this article.

Resources

Documents that have been added to the Documents section of an account can be selected to be included in the email. Please be mindful of the size limit listed in this article.

Email Template

An Email Template can be selected from this dropdown (if available). This will populate the Subject and Message area of the email based on what is included in the Template.

Message

The email message (body of the email) is to be added to the Message area. This is a RichText Editor that allows some text formatting, such as changing text to bold, italics, underline, bullets, numbers, etc.

When pasting words from outside of the system in this field, always paste as Free Text. This can be done via right-click + Paste as Free Text or Ctrl + Shift + V.


Email Templates

Admin users are able to build Email Templates for accounts. See the Build and Configure Email Templates article for further information on how to manage these.

If there is an Email Template available on the specific Email Out page a user is on, this will appear in a dropdown on the page.


Accessing the Email Out Page

When Adding Something to an Injury

Every time something, such as a Medical Certificate, Payment, Note, etc., is added to an Injury Record, an email can be sent out of the system. A user can select 'Save & Email' instead of 'Save'.

Whatever was just added to the system will automatically be selected as an attachment. This can be unselected as required.

Add Information > Email

The Add Information dropdown on the Injury Summary Page has an email option.

This loads the Email Out page.

Email Entitlements

On the Compensation Calculator page, there is an option to Email Entitlements. This is specifically for sending Weekly Entitlement records out of the system.

Select the date range to be applied, and this will be attached as an Excel document to the email.

Submit a Claim

When using the Submit Claim Tile on the Injury Summary Page, the user is taken to a page where they can email a claim (submit it) or document if it was submitted elsewhere.

The email page will show if 'I want to submit this claim to my insurer' is selected.


Email From and Email Replies

Emails sent from the Email Out page will be sent from emails@solv.com.au. This mailbox is not monitored, and emails sent to it are not processed into the system.

Please do not send emails to emails@solv.com.au.

Emails sent from emails@solv.com.au have been configured to have the 'reply-to' email set as the logged-in user who sent this email from the system.

Please be aware that some email systems and auto-replies do not properly abide by the 'reply-to' rules set on the email from emails@solv.com.au.


Email Signatures

Users can add and customise email signatures that populate in the body of the email being sent from the system. Email signatures are able to be configured in the user settings area.


Email Out Size Limit

The size limit for sending emails out of the system is 10 MB, which is inclusive of the email body and any selected attachments.
