The Notes function allows you to capture file notes and store them in one central location for easy access.
Notes can be added from within the system, or emailed into the system and automatically filed.
ADD A NOTE
A file note can be added in many different ways in the system. You can do this from the Summary Page or the Notes page of an injury record.
Summary page
Step 1
Select Note from the Add Information drop-down menu. You can also use the Update Note Add button to add a quick Note. Alternatively, use the quick key 'N' on your keyboard when you are on the Summary Page.
Notes
Step 1
From the Notes menu of the claim file click on the Add button.
Step 2
Enter the file note title and details. You can choose an appropriate Category for the note from the drop-down menu.
If you tick the Private checkbox, the note will only be visible to yourself and Client Admin users within your account.
If you would like to Pin the Note to the Summary Page of this claim for easy reference, select the Pinned tick box option.
Step 3
Once you've completed the details of your Note, you can then upload an attachment if required. To do this, simply drag and drop your attachment over the attachments section, or select 'Choose file' to browse your folders.
Step 4
When finished, click Save.
There is also the option to Save & Email your note at the same time. Simply click the Save & Email option and the system will save your Note and take you to a new page where you can input recipients and add any relevant attachments before emailing.
NOTE TEMPLATES
If there are Note Templates saved in your account these can be used to prepopulate information into the Note.
Choose the required Note Type and then select the Note Template required from the list prior to entering information into the Note area.
All information entered into the Note area prior to the Note Template being selected will be replaced with the Note Template.
EMAILING INTO NOTES
Emails can be sent directly into the system and be automatically stored in the Notes section of the claim file.
Enter notes@solv.com.au in the address field (either To: CC: or BCC:) of a new or forwarded email, then enter the Unique ID in round brackets in the Subject field of the email i.e. (ABC-INJ-123).
The Injury Unique ID is displayed in the top left-hand corner of the claim file, or next to your injured worker's name on the Summary Page, and will begin with your account prefix followed by 'INJ' then a sequence of numbers (e.g. ABC-INJ-123).
Ensure that there is no other text or spaces in brackets within the Subject field. It should display as (ABC-INJ-123).
If you would like to mark the note as Private, enter a βPβ directly after the closed bracket, for example (ABC-INJ-123)P.
Once sent, the email will be stored in the Notes tab of the injury record, with the Note category set as Email.
If you would like the email you send into the system to be stored with a different Note category, you can do this by entering the name of that note category at the start of your subject line, followed by a colon icon.
NOTES TAB
All Notes are saved to the register under the Notes Tab.
You can sort Notes by Date, Category, Created by or by the Note Title. To sort, click on the relevant column header within the table.
You can also search for and filter Notes by typing in the Search field and pressing enter.
To view the details of a Note, click on the arrow to the left of the date of that Note, and the Note will expand.
From the Notes page, you can also upload and view attachments against a Note using the attachment icons (paperclip and upload/cloud icons). You can also view other options by selecting the three dots to the right of the row. On selecting this, you'll see an option to edit, email or delete that Note.
EDIT AND DELETE NOTES
To delete or edit a Note from SolvInjury, click on the '...' icon against that Note and select 'Edit' or 'Delete'.
PRINT AND EXPORT NOTES
To print an individual Note, click on the '...' icon against that Note and select 'View'.
This will then take you to a view page for that Note where you have the option to print or export that Note to PDF.
You can also export the Note register (not including attachments) directly from the Notes page by selecting the download icon.
