EMAIL INTO NOTES
Emails can be sent directly into the system and automatically stored in the Notes section of a claim file.
Enter notes@solv.com.au in the address field (either To: CC: or BCC:) of a new or forwarded email, then enter the Injury ID in round brackets in the Subject field of the email i.e. (ABC-INJ-123).
Ensure that there is no other text or spaces in brackets within the Subject field. It should display as (ABC-INJ-123).
If you would like to mark the note as Private, enter a βPβ directly after the closed bracket, for example (ABC-INJ-123)P.
Once received by the system, the email will be stored in the Notes tab of the claim file, with the note category set as Email.
If you would like the email you send into the system to be stored with a different note category, you can do this by entering the name of that note category at the start of your subject line, followed by a colon icon e.g "Update:" as seen in the screenshot below:
WHY IS THE UNIQUE ID IMPORTANT?
The Injury Unique Identifier is displayed in the top left-hand corner of the claim file, or under the injured worker's name on the Summary Page. The Unique ID consists of your company prefix, followed by "-INJ-" and a sequence of numbers e.g. ABC-INJ-123.
This is how the system identifies where to store the email.
TIP: Select the small copy icon on the summary page and this will copy the Unique ID in brackets which can be pasted directly into the subject line of the email.
EMAILS IN THE NOTES PAGE
Emails sent into the system, or sent from within the system, are stored on the Notes page of a file.
To view the email, select the expand arrow to the left of the date as seen below. Within the note body, we will store the first 500 characters of an email, however, if you wish to view the entire email trail, you will need to go to the attachments section and download the 'email' attachment. Any other attachments that are sent with the email will also be stored here.
EMAIL INBOUND - SIZE LIMIT
The email-in limit is 14MB (this is the total size - including all attachments).
If an email is too large, the sender will receive an error message via email.
