UPLOADING ATTACHMENTS

Anytime you add key information to the system, you'll see an option to upload attachments against that record.

Step 1

To upload a document (e.g. a scanned Medical Certificate) go to the Attachments section when adding that record, and click on 'Choose File' to select a document from your computer. Alternatively, if your internet browser supports it, you can drag a file from your desktop, Outlook or documents folder and drop it into the attachments drop zone.

Step 2

Once you've chosen your file, and loaded it to the Attachments section, you'll have an option to enter a 'Title' for that file, as shown below. This is helpful if you've uploaded a PDF document that lists a generic file name.

Step 3

To drag and drop an attachment, find the document in your email software, internal folder, or desktop, and click and hold down on the attachment. Drag the attachment into the Attachments section. When the bar changes to blue as seen below, release your mouse to drop the attachment in.

You can also upload attachments directly via their relevant page within the system. Under the page, you will see the layout:

If you see the cloud upload icon against a record, it means there is no attachment against that entry (e.g. PDF or Word Document). If you have an attachment you wish to upload, select this icon and the system will take you to your internal folders, or drag and drop directly over that row.


VIEW AND PRINT ATTACHMENTS

To view the attachment you have uploaded into the system, select the paperclip icon against that entry and select the Attachment Filename (there may be more than one, depending on how many were uploaded against the record).

When viewing the attachment, you will see the options to print or PDF the system record. To print the attachment itself, first open the attachment and print using the relevant Print function.


ATTACHMENT SIZE LIMITS

The system has a 200 MB size limit on attachments uploaded to the system. If you try uploading an attachment that exceeds this size limit, a pop-up from the system will appear advising of this. You will need to reduce your file size and upload as separate attachments.

Whilst you can attach documents up to 200 MB, there is a different size limit for sending an email out of the system. The email size limit is 10 MB (attachments and email body combined).


ALLOWED FILE TYPES

The supported attachment filetypes are: .jpg, .jpeg, .png, .gif, .pdf, .doc, .docx, .ppt, .pptx, .odt, .xls, .xlsm, .xlsx, .txt, .tif, .tiff, .rtf, .m4a, .msg, .tr5, .csv, .zip, .rar, .svg, .bmp, .mp3, .mp4, .wav, .pub, .dotx, .eml

If you try to upload a file type that isn't supported in the system, you will get the following message:


FILENAMES

Filenames can only contain letters, numbers, spaces, and the following characters:

- ' ( ) _ / & , . [ ] @ #


VIDEO FILES

Please note that we do support video files being uploaded to the system. Video files need to be saved as .MP4 or .wav.

Please note, however, that there is no native video player in the system, so if a video file is uploaded, you will need to download the file and play it external to the system.
