Medical Certificates

OVERVIEW

A medical certificate is a key document in the injury management process. You can record, store and easily locate all medical certificates associated with an injury.

ADD MEDICAL CERTIFICATE

There are a number of ways to add a medical certificate to SolvInjury. For an overview, take a look at our short training video below:

From the Injury Management section, click on either the "Medical Examination", "Expires" or "Capacity for Work" buttons.

Click on the First Medical Certificate button in the Claim Progress section (only for the first medical certificate),

Select Medical Certificate from the Add Information drop down menu.

From the side menu, select the Medical option then click on Medical Certificates and click on the Add button.


CAPTURING THE MEDICAL CERTIFICATE INFORMATION

From the Add page, you'll have the option to upload a copy of the injured worker's medical certificate. This allows you to see the relevant capacity information.

From here, Enter the details of the certificate including the date received, date of examination and the type of certificate.

If you complete the Doctor’s Name, Summary of Diagnosis and Treatment fields, these will pre-populate on subsequent medical certificates.

Under the Capacity for Work section, enter the capacity type by selecting the appropriate check box. Multiple capacity types can be entered against one medical certificate record.

When you select the capacity type, extra fields will appear for you to enter the required information. For example, when "Fit for restricted return to work" is selected, the following fields will display - To and From dates, if a RTW Plan is required, if the worker can only return for a Restricted Time and a free text box to list restrictions.

Entering this information will also pre-populate onto RTW Plans generated from SolvInjury.

If you have the information available, you can enter the next appointment details. When this is completed, the appointment record will be added to the Calendar in the Details menu of the injury file. The appointment can also be captured in your Outlook calendar by ticking the Save to Outlook checkbox.

Once complete, you can click on the Save button to enter the details.

Alternatively, if you need to send the details or the attachment of the Medical Certificate via email, click on the Save & Email button. This will open an email template to send from the system. Any emails sent from the system will be saved in the Notes section of the injury file.


LOST TIME CALENDAR

The Lost Time calendar will appear when the injured worker is either on restricted duties or is certified unfit fitness for work. Once the dates have been entered into the Capacity for Work section, the Lost Time calendar will auto-populate with the relevant lost or restricted day(s).

FIRST MEDICAL CERTIFICATE - LIABILITY STATUS

When entering the First medical certificate, you will notice a field for Liability Status. The system will allow you to update the Injury Type to Claim when adding the first certificate if required.

Each certificate entered is stored in the Medical Certificates page of the injury file. If there are multiple capacities within the same medical certificate, a separate line item is stored for each capacity.

You can sort certificates by Date, Type, Capacity, From and To dates, or by Diagnosis. To sort, click on the relevant column header within the table.

To view further details about a Medical Certificate, select the drop down arrow on the left hand side of the record, and this will expand to show you the basic information. If an attachment is uploaded against that record, you'll see a paperclip icon to the right of that row. Clicking on this paperclip will take you to view that attachment. If no attachment is uploaded, you'll see the upload 'cloud' icon.

To complete a new action on the record, click on the Context Button "..." where you will have the option to Edit, Email, Print/PDF, Mark as Current or Delete.


MARK AS CURRENT

The "Mark as Current" option records a certificate as the most current certificate against that file.

This feature is able to be used when the system is not pulling alerts and capacity information from the most recent medical certificate entered into the system, as a result of perhaps two certificates being entered with overlapping from and to dates. Once selected, these details will then be displayed on the injury Summary tab and Alerts from the system will generate based on the dates of this certificate.
