Confidential Injuries

Confidential Injury Setup

Making an injury or claim confidential allows you to restrict access to sensitive data.

This feature does require configuration by the Solv team before it can be used. Please get in touch with the Support Team via the system widget to request this.


Default Users

Once this feature is turned on, the nominated user/s will have access to all confidential injuries as a default. We recommend having 1-2 users with confidential access. Please note these users must have combined access to all Policies and Workplaces within your account.


Marking an Injury as Confidential

An injury can be marked as Confidential by selecting Yes to the "Is Confidential" question on the Add Injury page when creating a new injury record or via the Details > Injury Details page of an existing injury.

When creating a new injury record or accessing the Details > Injury Details page of an existing injury, you can select "Yes" to the "Is Confidential" question in order to mark the injury as confidential.

Once an injury is marked as confidential, users who aren't nominated as the default user/s will no longer see the injury details, including the person who added the new injury.

Once the Injury is Confidential a red banner will appear on the Injury Summary page.


Managing Confidential Access

Approved Confidential Users can allocate access to other Users on a case by case basis. This allows other users to have access to one or more Confidential Injuries but not see all Confidential as standard.

Approved Users can also remove Confidential Access from individual users who no longer require access to the injury. Confidential access can be removed from Default Users.

To manage access for a Confidential Injury, go to the Summary Page of the Injury and use the Add Information drop-down list to select Manage Confidential Access

Here, you will be able to see any User who has had access to that injury at any time. If the user access has been removed, you can see the time and date they were removed and who removed the access.


Adding Access

To allow another user to access the Confidential Injury, select the Add button on the right hand side of the page.

Use the Search bar or drop down list to find the User who requires access to the Confidential Injury. Select the Users name then click on the Save button.

A green pop up will briefly display to confirm the user now access, and you will be directed back to the Manage Confidential Access page.


Removing Access

If a user no longer requires access to that injury, click on the [...] meatball menu on the right hand side of the users name. Then select Delete from the drop down menu.

A pop-up box will appear to confirm you would like to remove access. Select Delete.

You will be directed back to the Manage Confidential Access page where you can see the details of when and who deleted the user's confidential access.


FAQs

A new confidential injury has been added but I didn't receive an email notification

Confidential records do not automatically send out email notifications. A specific email notification needs to be configured (if required) to notify users with Confidential access when an injury has been added to the account.

Our Support team can confirm if this has been configured, or assist with setting up a new email notification if required.

I am unable to see a confidential record in Power Reports

If a confidential record is omitted from report results, this can be caused by insufficient access to the record, i.e. you are not set as a Confidential User with access to the record.
