Working with Complex BIM files

How to optimise BIM files for complex scenes

Written by Ken Panitz

Issue

Tobe Builder may fail to convert BIM models when they are too large or complex (geometry and/or properties).

  • The system will automatically retry up to 3 times

  • If unsuccessful, you will see:

“Some BIMs cannot be reloaded – conversion retry limit reached”
Models could not be converted after repeated retry attempts

Common Causes

  • Excessively detailed geometry (e.g. nuts, bolts, small components)

  • Very large model file size

  • Complex property data

  • Heavy federated models (NWD files)

How to Fix

1. Split the Model

Break the model into smaller, logical parts before uploading
✔ Improves processing reliability
✔ Reduces memory and conversion load

2. Use NWC Instead of NWD

  • Avoid large NWD (federated) models

  • Export and upload NWC files instead
✔ Lighter and more efficient for conversion

3. Remove Unnecessary Geometry

Open the model in Navisworks and hide elements not required, such as:

  • Nuts and bolts

  • Small fittings

  • High-detail components

Important:
Hidden items are ignored by the converter, reducing complexity.

4. Re-upload a New Revision

After simplifying the model:

  • Upload a new version to:

    • Autodesk Construction Cloud (ACC), or

    • Local file source

  • Trigger a fresh conversion attempt

Best Practice

Keep models lean and purpose-driven
Remove unnecessary detail before upload to maximise conversion success.

Quick Checklist

  • ☐ Model split into smaller parts

  • ☐ Using NWC instead of NWD

  • ☐ Unnecessary geometry hidden

  • ☐ New revision uploaded
