Editing and Deleting Shift Notes

Learn how to edit a shift note within 48 hours, why notes can't be deleted, and how to add a corrected note once the editing window has expired.

Shift notes (also known as appointment notes) form part of the compliance record for every shift or appointment in Imploy. This article explains when a shift note can be edited, why notes cannot be deleted, and how to record corrections once the 48-hour editing window has passed.

Can I edit a shift note?

Yes — but only for a limited time.

A submitted shift note can be edited for up to 48 hours after it has been submitted. This applies to both standard appointment notes and Shift Note Templates.

The 48-hour editing window allows genuine mistakes to be corrected while maintaining the integrity of your records for compliance purposes. Once this period has expired, the note becomes locked and can no longer be edited or deleted.

Note: Editing shift notes is currently available through the Imploy web application only. Mobile support for editing notes will be introduced in a future release.

How to edit a shift note (within 48 hours)

  1. Navigate to the shift you want to update.

  2. Open the shift and select the Notes tab located beside Overview.

  3. Locate the appointment note you want to update and click Edit.

  4. Update the required changes to the note.

  5. Save your changes. The updated note stays attached to the same shift or appointment.

If the Edit option is unavailable, the note has either exceeded the 48-hour editing window or cannot be edited from your current device. In this case, you'll need to add a new appointment note and link it to the original shift.

How to correct a note after the 48-hour window

Once a shift note has been locked, it cannot be edited or deleted. Instead, you can create a new appointment note and link it to the original shift.

This ensures the original record remains unchanged while allowing the corrected information to be recorded alongside it for compliance purposes.

To add a corrective note or additional note:

  1. Click the + Note drop-down button.

  2. Select Appointment Note.

  3. Enter the corrected or updated information.

  4. Select Link to Appointment, choose the exact date of the original shift, then select the corresponding appointment that appears for that date.

  5. Click Save.

The new appointment note will be linked to the selected shift, while the original note remains unchanged, providing a clear audit trail.

Important

  • Shift notes can only be edited within 48 hours of submission.

  • Editing is currently available through the Imploy web application only.

  • After 48 hours, shift notes become locked and cannot be edited or deleted.

  • To record updated information after the editing window has expired, create a new Appointment Note and link it to the original shift using Link to Appointment.

  • Keeping the original note alongside any corrective notes or additional note helps maintain an accurate and compliant record of the shift.
