Sharing Information (Rich Text Field)

Use Rich Text to share instructions, notes, and important information with your contributors (respondents).

Updated over a week ago

The Rich Text field is a design element you can add to your form. It isn’t for collecting responses — instead, it’s for sharing information. You can use it to provide guidance, context, or extra details that help respondents complete the form correctly.

What You Can Share with Rich Text

  • Instructions — guide respondents on how to complete specific sections.

  • Reminders and Policies — highlight important rules or disclaimers.

  • Links and References — point to external resources, websites, or company documents.

  • Media Content — embed images, tables, or videos directly into the form.

How to Add a Rich Text Field

  1. In the Form Builder, open the Fields panel.

  2. Under Design Elements, drag the Rich Text field into your form.

  3. Click into the editor to add your content.

The editor lets you format text, add lists, change colours, and insert links, images, tables, or videos — giving you flexibility in how you present information.

Example Use Cases

  • Add a welcome note at the top of a form.

  • Insert instructions for staff completing a checklist.

  • Link to a website for further learning materials.

  • Embed a training video in an onboarding form.

Frequently Asked Questions (FAQs)

Q. Can respondents type their own details into a Rich Text field?

A. No. Rich Text is for sharing information only. To collect responses, use input fields such as Text, Numeric Value, or Date.

Q. Can I add multiple Rich Text fields?

A. Yes — add as many as you need to structure your form and provide guidance.

Tips

  • Keep information short and clear so respondents don’t skip over it.

  • Use Rich Text with headings and descriptions to break up longer forms.

  • Combine with other fields (e.g., Signature, Checkbox) to ensure respondents acknowledge the information you’ve shared.
