How to create a CSV file group

Account owners and user admins can create user groups by uploading a CSV file, enabling them to create and view reports and send messages.

Introduction

Account owners and user admins can create static groups by uploading a CSV file in Group management. The file should include the email addresses of the individuals you want to include. After uploading, you can view group information and send a message to the entire group.

This method provides a simple and reliable way to create a fixed list, avoiding the issues of dynamic filters that might unintentionally include or exclude individuals based on changing criteria.

It’s especially useful when you have a specific group you want to send messages to or for tracking specific individuals who don’t fit into the dynamic filter categories. For example, you could create groups for:

  • Learners from a specific region.

  • New team members.

  • Any other specific categories your organisation needs to manage.

Tip: Use the Filter group option to create dynamic groups based on specific criteria. Membership in these groups may change as individuals start or stop meeting the criteria.

How to create an Upload CSV group

Select Create group in Group management to name your group. Once you've given it a descriptive title, select Create, then select the Upload CSV tab.

Select Upload CSV and choose and open your prepared CSV file.

Note: The file must contain a header row labelled email_address and have all formatting removed. Check here for an example.


After uploading your file, review the list of users in the table. If everything looks correct, select Save to finish.

CSV file formatting

Your CSV file must contain a header row labelled email_address. List your email addresses under this header, then remove all formatting before downloading and uploading the file.

How to view group details and send messages

To view a group's details, select it from the list in Group management. If you have multiple groups, use Search, Filter by or Sort by to help locate your group.

Groups created via file upload are marked with a green icon.

Select your group to view a table of group members and their details. Here you can use the envelope icon to send your group a message or the download icon to download group data as a report.

How to edit or delete an Upload CSV group

To edit or delete a group, first open it from the list in Group management.

To update the group members, select Replace CSV and upload your updated CSV file. Save your changes to complete the update.

To delete a group, select Delete Group and then confirm your choice.
