What Will We Learn Here?

Recurring donations provide financial stability for your organization. On this page, you can view all active recurring plans and perform advanced actions: extend a donation period, change the billing date, download past receipts, or cancel a plan.

How to Access

  1. Log in to your Organization Area (click your profile picture -> Organization Name).

  2. Click on "Donations" in the side menu.

  3. At the top of the screen, switch to the "Recurring Donations" tab.

1. Filtering and Exporting Data

The recurring donation status will be displayed in the 'Next Transfer' column. Here are the statuses:

Active - The recurring donation is active, and the next debit date will be displayed alongside the green 'Active' tag.

Completed - The recurring donation has reached its final debit and has ended automatically.

Canceled - The recurring donation was canceled in advance before it reached its end.

Additional information is available, including the donor's details, campaign name, and the duration in months. Click the arrow (⌄) at the end of a row to see the plan details: payment method, donation date, end date, expected amount, the amount collected so far and the current charge out of the total months.

Use the filters at the top of the table to find specific plans by amount range (From amount / To amount), Final Charge, Donation date, campaign, donor, status, payment method or currency.

  • Export to Excel: To download the report to your computer, click the "Download" button above the table on the right.

2. Performing Actions (The Three Dots Menu)

Each row in the table has an Actions button (⋮). Clicking it opens a menu with the following options:

A. Extending a Recurring Donation 🔄

Instead of creating a new plan when one ends, you can easily extend it. The option shows on an active plan with a set number of months that was not extended before (not on anonymous or DAF donations).

  1. In the actions menu, select "Extend".

  2. In the pop-up window, click the "Add months" field and select the duration (e.g., 04 months).

  3. Mandatory: Check the box "I confirm the donor has agreed to this extension".

  4. Click "Confirm Extending".

B. Renewing a Completed Recurring Donation 🔁

A plan that reached its last charge (status Completed) can be renewed for another period, up to six months after its end date:

  1. In the actions menu, select "Renew".

  2. In the "Recurring months" field, choose how many months to renew.

  3. Check "I confirm the donor has agreed to this renewal" and click "Confirm Renewal".

The renewal charges the same payment method, so the donor's card must still be valid.

C. Changing the Billing Date 📅

Need to move the charge to a different day of the month? The option shows on active plans, for users with the Owner or Admin role.

  1. In the actions menu, select "Change recurring date".

  2. In the "Select day" field, choose the new preferred day (e.g., 02, 26).

  3. Click "Submit".

    • Note: The change will take effect starting from the next month.

D. Viewing History and Downloading Receipts 📄

  1. In the actions menu, select "View donations".

  2. A window will open showing the billing history.

  3. Next to each charge, click the purple receipt icon to download the file.

  4. Resend via Email: Click the three dots inside this window and select "Send invoice" to email the receipt to the donor.

E. Canceling a Recurring Donation ❌

  1. In the actions menu, select "Cancel".

  2. In the confirmation window ("Are you sure?"), click "Yes".

Summary

Smart management of recurring donations prevents donor churn. Use the actions menu not just to view data, but to extend expiring donations and adjust billing dates upon donor request—ensuring a seamless revenue flow for your organization.
