Version Tracker: auto-upload counterparty revisions from email

Automatically capture new Word versions straight from your email threads

Written by Henry Warner

💡 NOTE: Version Tracker is being rolled out to workspaces gradually. If you can't see it under Settings > Integrations yet, it will be available soon.

Only Juro Org Admins can enable/disable the Version Tracker from the Connectors portal.

No more downloading, managing and reuploading attachments manually: when a counterparty returns a revised Word file, Juro can automatically update the version of the relevant contract record.

By CC'ing each workspace's unique Version Tracker email (VTE) in your initial email to the counterparty, Juro tracks each attachment that follows and creates a new version anytime changes are detected.

The Version Tracker is enabled for all workspaces by default, and there are two ways to use it:

  1. Export your contract from Juro as a DOCX file, and send it to your counterparty with the workspace's VTE in CC.

  2. Share the contract with the counterparty from Juro directly: for this route, the workspace's VTE is CC'd automatically.

Both pathways are explained in more detail below.

How does the Version Tracker work? 🔖

For a returned file to be uploaded successfully:

  • It must be a DOCX file: PDFs and other file types aren't ingested.

  • It must be exported from Juro: When you download a DOCX from Juro, it carries hidden information that tells Juro which contract it belongs to. Version Tracker relies on this to match the file. If you're working with a third-party's paper, you can upload it to Juro first and send the counterparty Juro's DOCX export.

  • The original contract must be active in the same workspace.

  • The contract can accept a new version: It can't be fully signed, locked for negotiation, locked for parallel editing, or going through an AI Review.

  • The Version Tracker address is in the reply: This must stay in CC on the same email thread.

Version Tracker doesn't pick up:

  • Files whose hidden Juro information has been stripped out along the way, for example by opening and re-saving them in Google Docs

  • Changes typed into the body of an email

  • Files shared as Google Drive, Dropbox or other links rather than attachments

  • Emails sent by members of your own workspace (see Security below).

How does the Version Tracker email (VTE) work? @

Each workspace has its own Version Tracker email (VTE). The VTE stays the same for all contracts in the relevant workspace, so you can use this on any email thread.

The workspace's VTE never changes, even if the Version Tracker is disabled and then re-enabled later. Once disabled, the VTE will continue to work on threads where it has already been activated.

Finding your VTE 🔎

Your workspace's address appears in three places:

  • Settings > Connectors > Version Tracker. When Version Tracker is active, the page shows the address with a copy-to-clipboard button. This is the easiest way for Org Admins to find it.

  • The Sharing with the counterparty?" prompt, which appears whenever you download a DOCX from a contract.

  • The Share externally flow, where it's added to the email for you when the Auto-upload counterparty revisions toggle is on.

Sharing the contract from Juro 🚀

Juro adds the VTE automatically for contracts shared through its Share externally function. To get started:

1. Open a contract and click Share, then Share externally and enter the counterparty's email address.

2. Under Send document as, select DOCX. You can also include a Review Link alongside it, so the counterparty can choose between editing in Word or negotiating in their browser.

Additionally, you can customise the email subject, message and body.

3. Toggle on Auto-upload counterparty revisions: this adds the workspace's VTE to the CC and reply-to fields so that it's automatically included when the counterparty replies.

Finally, click Share.

The counterparty will receive an email from [Your name] via Juro (sent from noreply@juro.com), with the DOCX attached and the review link (if included).

Sending the contract from your own inbox ✉️

You can also send the contract as a DOCX file from your own email inbox. To do this:

1. Download the contract as a DOCX from Juro

When you do this, the Sharing with the counterparty? " prompt will appear. Select Yes, I'm sharing it.

This copies the VTE to your clipboard and updates your contract's status to reflect that the document has been shared outside of Juro.

2. From your inbox, paste the VTE into the CC field of your message. Then, attach the DOCX and send it to your counterparty

🚨 NB: You should ask your counterparty to reply all when they send their revisions. If they drop the CC or start a new email thread, the new version won't be picked up by the Version Tracker flow.

Managing counterparty revisions with the Version Tracker 🥞

When the counterparty replies, Juro uploads their edited DOCX as a new version of the contract record automatically. Juro notifies the contract owner by email, with a link to the contract summary page.

When you access the contract, you'll see an 'Updates Detected' notice. The counterparty's changes appear as redlines compared against the previous version and are attributed to the counterparty, ready for your review as normal.

Smartfields updates are also picked up. If the counterparty's Word edits impact one of your smartfield values, Juro recognises this as a smartfield change and makes the necessary updates.

To learn more about how Juro handles redlines, formatting and comments in returned Word files, you can read our Importing and exporting DOCX versions of a Juro document article.

To learn more about managing counterparty changes, see Negotiating in Juro.

💡 NOTE: Only the contract owner is notified. Other collaborators, such as legal reviewers, won't receive an email.

If a file can't be matched to a contract, it's ignored, and no one is notified. In that case, upload the file using the Upload new version flow.

Security 🔒

Knowing your workspace's address isn't enough to upload a file into Juro. Version Tracker has these safeguards built in:

  • Someone from your workspace must be on the email. At least one workspace member needs to be in the To or CC field, vouching for the email.

  • Emails from your own workspace members are ignored. This prevents loops and means forwarding a counterparty's email to the address yourself won't upload anything.

  • Automated emails from Juro are ignored.

  • Contract checks apply. Signed, locked, and in-review contracts won't accept a new version.

  • Rate limits are in place. There's a cap on how many emails and attachments each address processes within a set time, to protect against email floods.

Enabling and disabling the Version Tracker ⚙️

Version Tracker is enabled by default for every workspace.

  1. Go to the Connectors portal.

  2. Click the Version Tracker panel

  3. Click Disable (or Enable to turn it back on).

🚨 NB: While the Version Tracker is off:

  • Emails sent to the workspace's address are dropped, no new versions are uploaded, and neither you nor the counterparty is notified;

  • Users see "Want to auto-upload new counterparty versions? Ask your admin to enable Version Tracker." in place of the address and the auto-upload toggle.

Admins can also click Open integration log on the Version Tracker settings page to see uploads that failed because of the contract's state, for example, because it was locked.

Troubleshooting 🔎

Problem

Likely cause(s)

What to do

The counterparty replied, but no new version appeared.

They removed the Version Tracker address from CC, or replied in a new email thread.

Upload the file yourself with Upload new version, and ask them to use 'Reply all' next time.

The address was in the reply, but no new version shows in Juro.

The file is a PDF, wasn't exported from Juro, or lost its hidden Juro information (e.g. via Google Docs).

Upload the file yourself with Upload new version.

The file was a Juro DOCX, but it didn't upload.

The contract is signed, locked, or going through an AI Review.

Ask an admin to check the integration log, then upload the file once the contract is unlocked.

I forwarded the counterparty's email to the address, and nothing happened.

Emails from members of your workspace are ignored.

Download the attachment and use Upload new version.

I can't see the address or the auto-upload toggle.

Version Tracker is switched off for your workspace.

Ask an organisation admin to enable it under Settings > Integrations.

A colleague wasn't told about the new version.

Only the contract owner is emailed.

Check who owns the contract, or let your colleague know directly.
