Navigating your document's Settings

Learn how to lock, archive, move and duplicate a contract, and even create a template from it without having to leave the document.

Introduction πŸ‘‹


There are several additional features in the Settings section of each contract that allow you to execute routine actions directly from your document.


Moving a document to different workspace πŸ“¦


πŸ’‘ NOTE: You need to be an Admin in both the workspace you're moving documents from and the one you're moving documents to for the migration to be successful.

Document access is limited to members of the workspace where the document lives, but it's possible to move a contract you've been working on to a different workspace if needed.

To do this:

1. Click the Settings cog in the Actions bar of the document (depending on your screen size, you may need to click the 3 dots at the bottom of the list to access this, as in the below image).

2. Click the name of the workspace under the WORKSPACE OF DOCUMENT heading.

3. In the panel that appears, select the new workspace from the dropdown menu. Then click Yes, move.

Once the document has been moved to a new workspace, it no longer exists in the original workspace. To keep a copy of the document in each workspace, you can learn more about duplicating the original below.

πŸ’‘ NOTE: Duplicated documents are separate versions from each other. Any changes made to one document will not reflect on the other.


Locking a document πŸ”’


You can use the Lock document function to temporarily restrict external access to a document, even after it's been shared with other parties.

To do this:

1. Click the Settings cog in the Actions bar (depending on your screen size, you may need to click the 3 dots at the bottom of the list to access this, as in the below image).

2. Under the DOCUMENT ACTIONS heading, click Lock document.

You will receive an onscreen notification to confirm that the contract has been locked.

Any external parties that try to access the link while the contract is locked will see a message to let them know you've restricted access for now:

To unlock the contract, click Unlock Document whenever you're ready to make it available to external viewers again.


Archiving a document 🌚


You can also archive a contract in the Settings tab. To do this:

1. Click the Settings cog in the Actions Bar (depending on your screen size, you may need to click the 3 dots at the bottom of the list to access this, as in the below image).

2. Under the DOCUMENT ACTIONS heading, click Archive document.

When the prompt appears to confirm if you'd like to archive the document, click Yes.

You will then be redirected to your Archive, where the contract will stay until it is either deleted permanently or restored to the main Contracts homepage.


Duplicating a document πŸ“„ πŸ“„ πŸ“„


As referenced above, you can also duplicate a contract in the Settings sidebar.

To do this:

1. Click the Settings cog in the Actions Bar (depending on your screen size, you may need to click the 3 dots at the bottom of the list to access this, as in the below image).

2. Under the DOCUMENT ACTIONS heading, click Duplicate Document.

When the prompt appears to confirm if you'd like to archive the document, click Yes.


Creating a template from the contract you're working on πŸ§™


If you've created a contract that you think may be suitable as a template within your workspace, you can convert it in the Settings section:

To do this:

1. Click the Settings cog in the Actions bar (depending on your screen size, you may need to click the 3 dots at the bottom of the list to access this, as in the below image).

2. Under the DOCUMENT ACTIONS heading, click Create template.

2. On the next page, type the name of the new template and click Create template.
