Opting in and out of metrics

A quick guide on opting in/out of metrics in KeyESG, with steps and examples, and an interactive video.

Managing sustainability metrics is crucial for organisations tracking their environmental impact, and the KeyESG platform offers flexibility in handling specific data metrics. Here’s a simple guide to help you navigate the opt-in and opt-out features.

Step 1: Navigating to a Metric

Within KeyESG, select the metric you’d like to manage. For instance, you might be viewing metrics related to “Company Cars” under the “Electric Company Cars” category within “Scope 2 Emissions.”

Step 2: Opting Out of a Metric

If you’d like to opt out of a metric, follow these steps:

  1. Under the metric name, you will find a section that says 'opted in', click on this and a drop down will appear.

  2. Select Opt Out from the drop-down menu.

3. A prompt will appear asking you to provide a reason for opting out, such as “insufficient data availability for this metric.”

4. Enter your justification and click Save.

5. Please note that you can only opt out at the data point level if you are an admin user or if you are a data gatherer and have access to all the entities being measured under that data point.

6. Also note that you cannot opt out at the data point level if there are already submissions under that data point. Any submissions will need to be deleted before you can opt-out.

How to opt-out at the entity level

If you are a data gatherer and only have access to certain entities OR you are an admin and would like to only opt out of a data point for a certain entity, follow these steps:

  1. Within the data point, scroll down to the entity you wish to opt out of

  2. click the three dots next to the entity name

  3. A prompt will appear asking you to provide a reason for opting out, Enter your justification and click Save.

Once saved, the selected entity will no longer be active for this metric.

Cadence level opt-outs

At the cadence level, users have the option to opt out of specific reporting periods (monthly, quarterly) for individual data points within specific entities.

  1. Within the metric, and your specific entity, select the month or quarter you would like to opt out of

  2. Next to the month or quarter name, click the three dots and select 'opt out period'

  3. This period will now be opted out.

Intelligent Reports Integration: Reports automatically handle cadence-level opt-outs as null values, ensuring that calculations and aggregations work correctly without being skewed by missing periods.

Common Reasons for Opting Out

There are several scenarios where a user might choose to opt out of a metric:

  • Data Accessibility: The organisation may not have access to reliable data to complete the metric, perhaps due to limitations in their tracking systems or unavailable records for certain locations.

  • Metric Relevance: Some metrics may not apply to all entities. For example, an organisation might not have electric vehicles in certain branches, making the “Electric Company Cars” metric unnecessary in those locations.

Step 3: Re-Opting Into a Metric

If you need to re-enable a metric, you can opt back in:

  1. Use the top menu to select Opt In.

  2. Once opted in, your metric becomes active again, and you can proceed to enter relevant data for the metric.

By following these simple steps, you can easily manage which metrics to include or exclude, tailoring your tracking based on your organisation’s needs.
