How to Synchronize CRM Custom Fields in Kickscale

Custom fields synchronization in Kickscale allows you to integrate your CRM's custom data with the platform effectively. This ensures that insights from meetings are automatically updated in the relevant CRM fields.

Follow the steps below to enable and manage CRM custom fields synchronization.


Prerequisites

  • Ensure your CRM system is connected to Kickscale. Refer to this article for guidance on connecting your CRM.


Enabling Custom Fields Synchronization

  1. Navigate to CRM Integration Settings

    • Go to SettingsWorkspaceCRM Integration in the Kickscale platform.

  2. Activate "Sync Custom Fields"

    • Toggle the "Sync Custom Fields" switch to enable synchronization.

  3. Review the Dialog

    • A dialog box will pop up with three tabs:

      • Opportunities

      • Companies

      • Contacts
        Each tab represents a CRM entity where you can manage custom fields.


Managing Custom Fields for CRM Entities

  1. Select a Tab

    • Click on the relevant tab (Opportunities, Companies, or Contacts) based on the entity you want to configure.

  2. Add a New Custom Field

    • Click the "Add Custom Field" button in the upper-right corner.

    • A form will appear, requiring the following details:

      a. External Field Selection

      • Use the autocomplete field to find and select the corresponding external field from your CRM.

      • This field or its ID can be found directly in your CRM system.

      b. Custom Field Name

      • Enter a name for the custom field.

      • If available, this field will be pre-filled based on the external field.

      c. Custom Field Description

      • Provide a precise and clear description of the custom field’s purpose.

      • If available, this field will also be pre-filled.

  3. Save and Enable the Custom Field

    • After completing the form, save the custom field.

    • Ensure the field is enabled for it to be analyzed during meetings.


Important Notes on Custom Fields Synchronization

  • Supported Field Types

    • Currently, only multiline text fields are supported


How It Works

Once added and enabled:

  • Custom fields will be analyzed during each upcoming meeting.

  • If a custom field’s information is discussed during the meeting, Kickscale will automatically extend or update the field in your CRM as per the rules above.

A great description for a custom field ensures clear mapping and accurate analysis.

Example Description:

Field Name: Pain Points and Challenges
Description:
"This field captures key challenges and pain points raised by the customer during discussions. Use this field to document specific barriers they face, such as operational inefficiencies, budget constraints, or unmet strategic goals. Ensure to specify how these challenges impact their decision-making process."

This level of detail ensures that insights from meetings are correctly aligned with the CRM field's purpose.


Tips and Best Practices

  • Use Detailed Descriptions
    Precise descriptions improve the accuracy of information extraction and analysis.

  • Verify Field Compatibility
    Ensure the field you’re adding is a multiline text field to allow information extension.

  • Monitor Updates Regularly
    Periodically review updated fields to ensure they align with your business needs.


Troubleshooting

I can’t find the external field in my CRM.

  • Double-check the field name or ID in your CRM system.

Information isn’t being analyzed or updated.

  • Ensure the custom field is enabled in Kickscale.

  • Verify that the custom field description is clear and detailed.

  • Confirm that the custom field is a supported field type (multiline text).
