This article explains how client information and sharing work in report generation. For Klarify's privacy commitments, see the Privacy Policy and the Privacy & Security overview.
Can I import a report that contains client information?
Yes. You can create a template from a completed PDF or Word report. You don't need to prepare a blank or de-identified copy first.
After the import, Klara removes identifying details from the example text in the background. Automatic removal can miss a detail, so review the template before you publish or share it. Klara uses that text to learn your structure and your writing voice. It does not copy the text of your example reports into new reports.
Fixed text is the exception. Fixed text is copied word for word into every report, so check that it contains no client details before you publish. See Creating a report template.
What do colleagues see when I share a template?
Shared with clinic lets colleagues generate reports from the published template. Only you can edit it.
Colleagues use the template's sections, instructions, fixed text and voice. They don't get your original file or the text of the reports you uploaded.
Sharing a template also shares the graphs, tables and images it uses. Those items stay shared if you turn off template sharing later.
Are graphs and tables private?
Graphs and tables you save are available to everyone in your clinic. When you save a graph from a report, Klara replaces the client's values with sample values by default. If you choose to keep the client's values, the graph stays private to you. See Defining graphs and tables.
Who can see my brand kit?
The brand kit is shared with your whole clinic. A document you upload to the brand kit, such as a letterhead, becomes a clinic asset. Choose a document whose content you are happy to share with your colleagues.
Is client information used to train AI models?
No. Klarify's Privacy Policy says sensitive health information is used to provide our services and is not used for model training or marketing. Read the Privacy Policy.
Who controls the information?
Therapists and clinics control the health information they enter. Klarify processes it to provide its services. Therapists handle client consent within their practice. See the Privacy Policy.
How long is information kept?
Retention depends on the type of information and its purpose, including legal obligations. The policy's 14-day deletion period applies to session audio recordings. It is not a deletion schedule for templates or reports. See the Privacy Policy.
Where can I read about security?
The Privacy & Security overview describes Klarify's security and encryption commitments. The Privacy Policy explains storage, processing, service providers and your privacy rights. For privacy questions, contact info@klarify.ca.
