Partner Applications

Learn how to set up, review and approve applications for partners.

In addition to General Registration entry flows for your event, you can also choose to set up Partner application entry flows. These allow organisations or groups to apply for a large number of entries on behalf of their individual participants. (Related article: What are applications?)

Some example uses:

  • Corporate entry - businesses or organisations requesting a large number of entries that they can distribute to their individual members

  • Charity entry - organisations requesting a large number of entries that they can allocate to participants who pledge to fundraise for them.

You’ll be able to review and approve the applications in your Let’s Do This Dashboard. Once an application is approved, you can then allocate a group of reserved entries to that partner.

Application options

You have several options for setting up the application form, including how you want to set up payment of entries:

  • Partner pre-pays for entries - the partner will pay during the application process, based on the number of entries they request

  • Participants pay later when claiming their entry - once the Partner sends invitations to participants, their tickets can include an entry fee

  • Partner partially pre-pays for entries - the partner will pay during the application process, is that participants will pay a reduced entry fee for their ticket


Set up your application form

Contact your Partner Success Manager to discuss your application requirements, including:

  • application form questions

  • payment options

Our Event Support team will then set up the application form and entry tickets for the partner’s participants to claim.


View your Applications in the Dashboard

First, go to the Events page within your dashboard:

Choose the Event you want to view Applications for:

Within an Event, go the Applications tab:

Select the relevant Race for your Application, and select your Application ticket from the dropdown. The resulting table will show you a list of your Applications.


Understanding an individual Application

Each application has two Status columns:

Approval status:

  • Pending - Application has not been manually reviewed

  • Successful - Application has been approved and allocated a group of reserved entries

  • Unsuccessful - Application has been rejected

  • Cancelled - Application was manually cancelled

Application status:

  • Successful - The application was submitted

  • Failed - The applicant was not successful

  • To be refunded - Applicant is due a refund

  • Refunded - Applicant has been issued a refund


Reviewing and approving Applications

Select a Pending application by pressing the checkmark, and then from the Modify menu, select View and approve:

The application window will summarize the application and indicate the number of entries applied for:

  • If you intend to approve the application, you’ll need to create a new Partner for this applicant, or match it to an existing one you’ve created before.

  • You can adjust the number of entries if needed, and create a group of reserved entries to assign to this Partner. (More details: Manage and create Reserved Entries)

  • You can optionally choose to email the applicant immediately with the link to manage their allocated entries.

  • Once you’ve reviewed the application, you can Reject or Approve the application from the bottom of the window:

Next steps for Successful applicants

All Successful applicants are automatically allocated Reserved Entries under their Partner name.


Managing your approved Partners and their entries

If you didn’t choose to email the applicant with the link to their allocated entries, you’ll need to do this via your Partners list. More details: Manage and create a new partner.

Your Partners will be able to manage their set of reserved entries and allocate them to individual participants or assign them to teams on their dedicated Partner Dashboards.
