The Case Timeline contains three primary areas: the filter and display controls, the document list, and the document preview and details panel.

1. Filter & Display Controls

Location: Top of the Case Timeline page

Purpose: Provide filtering, sorting, and display options to help users locate and view documents efficiently.

Filter Options:

Users can filter the document list using the following criteria:

  • Entry Type – Filter by the type of document or correspondence by selecting the relevant checkboxes:

• Phone Call

• Email

• Letter

• Text Message

• Fax

• Memo

• File Note

  • Date Range – Filter to show entries within a specific date range

  • Individual – Filter by the person the document was sent to or received from

  • Tags – Filter by the tags that have been applied to entries

Sort Options:

  • Most Recent First – Displays the newest entries at the top (default)

  • Oldest First – Displays the oldest entries at the top

View Modes:

  • Normal Mode – Standard display showing a balanced amount of information for each entry

  • Compact Mode – Condensed display showing less information per entry, allowing more entries to be visible on the page

  • Detail Mode – Expanded display showing more information per entry, including document details, correspondents, dates, and the associated fee earner

Layout Options:

  • Chronological View – Entries listed from newest to oldest (or vice versa based on sort selection)

  • Threaded View – Groups related correspondence together, primarily applicable to email chains where the most recent email appears at the top with all previous emails in the chain listed directly below

2. Document List

Location: Main body of the Case Timeline page

Purpose: Display all documents and correspondence entries for the case in the selected view and sort order.

Entry Types Displayed:

• Documents (Word, PDF, and other supported file formats)

• Emails

• Letters

• Phone calls

• Faxes

• Text messages

• Memos

• File notes

Three Dot Menu (…) on Each Entry:

Each entry in the document list has a three dot menu on the right-hand side providing the following actions:

  • View Record Details – Open the full record details for the entry

  • Preview Document – Open the document in the preview panel

  • Edit Document – Open the document for editing

  • Download – Download the document in its original format

  • Convert to PDF – Download the document converted to PDF format

  • Save with Metadata – Download the document with metadata preserved

  • Resend – Resend the document (where applicable)

  • Print – Print the document

  • Send via Email – Send the document to another recipient by email

  • Send via SMS – Send the document to a recipient by SMS

  • Share Link – Generate a URL link that can be copied and shared offline

  • Edit Document Details – Edit metadata such as the correspondent, fee earner, and date

  • Edit Tags – Add or modify the tags applied to the entry

  • WIP Adjustments – Make work in progress adjustments, including:

• Reverse selected

• Write off selected

• Transfer selected

• Adjust time entry

3. Document Preview & Details Panel

Location: Right-hand side of the page (opens when an entry is clicked)

Purpose: Provide an inline preview of the selected document and display detailed metadata.

Preview Tab:

When a document is clicked, the preview panel opens on the right-hand side displaying the document content. Supported file formats include Word documents, PDFs, and other standard formats.

Preview Toolbar:

  • Download – Download the document by pressing the download icon

  • Share – Share the document by pressing the sharing icon

  • Print – Print the document by pressing the print icon

  • Zoom In / Zoom Out – Adjust the document view to the preferred size

AI Document Summary:

Click the AI Document Summary button (blue button in the left-hand corner) to generate an instant AI-powered summary of the document.

This opens the Copilot sidebar and provides:

  • Document Summary – A concise summary of the document content

  • Key Points – The most important points extracted from the document

  • Next Actions – Recommended actions arising from the document

  • Key Deadlines and Dates – Any important dates or deadlines identified in the document

  • Q&A Chatbot – A text input at the bottom of the Copilot sidebar where users can type further questions about the document and receive AI-generated answers

Details Tab:

Click the Details tab to view comprehensive metadata about the selected document. The following information is displayed:

Document Information:

  • Document Details – General information about the document

  • Tags – Any tags that have been applied to the document

  • Action – The type of action (e.g., letter sent, email sent, phone call taken or received)

  • Action Code – The associated action code

People:

  • Correspondent – The person associated with the document

  • Fee Earner/Handler – The fee earner or handler responsible

  • Sent To – The recipient of the document

  • Billing Handler – The billing handler associated with the entry

  • Typist – The typist who created the document (if applicable)

Dates & Times:

  • Posted Date – When the document was posted

  • Completed Date – When the document was completed

Time Recording & Billing:

Units Charged – The number of time units charged

Price (GBP) – The monetary value charged

Charge Rate and Code – The applicable charge rate and code

Charge Description – A description of the charge

Category – The document category

Bill Date – The date the entry was billed

Bill Number – The invoice or bill number

Format:

Document Format – The file format (e.g., Word, PDF)
