Accessing the Case Timeline

  1. Open a case from the Cases Homepage.

  2. Click the Timeline tab in the case navigation panel.

  3. The Case Timeline will load displaying all documents and correspondence for the case.

Filtering the Document List

  1. Select the Entry Type checkboxes to filter by document type (Phone Call, Email, Letter, Text Message, Fax, Memo, or File Note).

  2. Set a Date Range to view entries within specific dates.

  3. Filter by Individual to see documents sent to or from a specific person.

  4. Filter by Tags to locate entries with specific tags applied.

Changing the Display Mode

  1. Select the Sort Order (Most Recent First or Oldest First).

  2. Choose the View Mode: Normal, Compact, or Detail.

  3. Choose the Layout: Chronological or Threaded (threaded groups email chains together).

Previewing a Document

  1. Click on any entry in the document list.

  2. The Preview panel opens on the right-hand side displaying the document content.

  3. Use the toolbar icons to download, share, print, or zoom in/out.

Using the AI Document Summary

  1. Click on a document to open it in the preview panel.

  2. Click the AI Document Summary button (blue button in the left-hand corner).

  3. The Copilot sidebar opens displaying the document summary, key points, next actions, and key deadlines.

  4. To ask further questions, type the question into the Q&A text box at the bottom of the Copilot sidebar and press Enter.

Viewing Document Details

  1. Click on a document to open it in the preview panel.

  2. Click the Details tab to switch from the preview to the detailed metadata view.

  3. Review the document information, people, dates, time recording, billing, and format details.

Editing a Document

  1. Locate the document in the document list.

  2. Click the Three Dot Menu (…) on the right-hand side of the entry.

  3. Select Edit Document to open the document for editing.

Making WIP Adjustments

  1. Locate the document in the document list.

  2. Click the Three Dot Menu (...) on the right-hand side of the entry.

  3. Select WIP Adjustments from the menu.

  4. Choose the required action: Reverse Selected, Write Off Selected, Transfer Selected, or Adjust Time Entry. Workaround: To calculate the adjusted rate, export the WIP adjustment data to Excel and use the formula:

    Adjusted Rate = Adjusted Value ÷ Units

    For example, if the adjusted value is £100 and there are 5 units, the adjusted rate would be £20 per unit. Impact on Historical Data: When a WIP adjustment is applied, the system preserves the original rate in the historical data, which ensures transparency but may make it challenging to derive the adjusted rate directly from the system. Configuration Tip: Ensure the correct rate is set before reposting by configuring it in the following areas:

  • Rate Maintenance: Configure the rate for the specific case type.

  • Handler Maintenance: Set the default grade for the fee earner. Advisory: Always make rate or unit changes before posting a bill. If adjustments are needed after posting, reverse the original WIP entry and repost it with the correct rate. Note: WIP adjustments are not permanent changes. The system reverses the original entry and creates a new adjusted posting, while preserving the original rate in the historical data for transparency and traceability.
