The Tasks Page is the centralised view within Case Matters for managing every task assigned to a fee earner or their team. Accessed via the Tasks icon in the left-hand sidebar, it surfaces all relevant tasks across every case in one consolidated screen, allowing fee earners to monitor workload, prioritise effort, and complete actions without navigating into individual cases.
The screen is organised around a top-level dashboard summarising tasks by urgency – overdue, due today, due this week, and un-actioned – followed by a sortable, filterable tasks table that lists each task alongside its description, type, deadline, related case, assignee, and tags. Users can toggle between their own tasks and tasks assigned across their team, and tasks can be actioned directly from the table via context-sensitive Quick Action buttons that pre-populate the case and task type and automatically record time on completion.
Additional task management options are available through a three-dot menu on every row, allowing users to view the case, edit, reschedule, reassign, add tags, or delete a task. Bulk selection supports applying these actions to multiple tasks at once, and a comprehensive set of search, sort, and filter controls makes it easy to navigate large task lists. New tasks can be added directly from the page using the Add New Task button, with the new task automatically associated with the relevant case.

Accessing the Tasks Page
The Tasks Page is accessed from the main navigation in Case Matters:

Screen Components & Layout
The Tasks Page is organised around a top-level dashboard, a navigation panel for switching between personal and team views, a comprehensive tasks table, and a set of search, sort, filter, and creation controls.
1. Tasks Dashboard
Location: Top of the Tasks Page
Purpose: Provide an at-a-glance summary of tasks grouped by urgency.
Dashboard Panels
The dashboard contains four panels that summarise the user’s task workload:
Overdue – tasks with a deadline that has already passed
Due Today – tasks with a deadline falling on today’s date
Due This Week – tasks due at some point within the current week
Un-actioned – tasks that have not yet had any action taken against them
The values displayed in each panel update automatically depending on the selected view. Switching between My Tasks and Team Tasks recalculates the dashboard to reflect the appropriate scope.
2. My Tasks / Team Tasks Toggle
Location: Navigation panel directly below the Tasks Dashboard
Purpose: Allow users to switch between their own tasks and tasks assigned across their team.
Available Views
My Tasks – displays tasks assigned to the logged-in user only
Team Tasks – displays all tasks assigned across the user’s team, supporting oversight and team workload management
Selecting a different view updates both the Tasks Dashboard and the Tasks Table to reflect the chosen scope.
3. Tasks Table
Location: Below the My Tasks / Team Tasks navigation panel
Purpose: Display every task within the selected view, along with its key details and the action required.
Table Columns
Each row in the tasks table represents a single task and displays the following columns:
Task – a description of the task and the action to be taken
Type – the type of task, such as letter, memo, call, email, or other action
Deadline – the date by which the task must be completed, with a clear visual indicator if it is overdue
Case Reference – the reference number of the case the task relates to
Assignee – the user the task is assigned to
Tags – any tags applied to the task, such as compliance, completion matter, planning permission, or other descriptive tags
Action Button – a context-sensitive call-to-action button on the far right of each row
Action Button
The action button displayed on each row adapts to the type of task. Common action buttons include:
Send Letter
Send Email
Create Memo
Log Phone Call
Other Quick Actions appropriate to the task type
Clicking the action button opens the relevant Quick Action modal – the same modal accessible from the smart bar – but launched immediately in the context of the selected task. The case and task type are pre-populated, allowing the user to complete the required fields and submit the action without further navigation. On completion:
The task is removed from the user’s task list
Time recording is automatically captured against the related case
Unsupported Actions
Some action types are not yet supported natively within Case Matters. Examples include Send SMS and Send Fax. When the user clicks the action button on a task of one of these types, an Action Not Available modal is displayed instead of opening a Quick Action modal.
⚠️ Warning: Action Not Available modal – unsupported task types
When a user clicks the action button on a task of an unsupported type (e.g. Send SMS, Send Fax), Case Matters displays an Action Not Available modal:
Title: “Action Not Available”
Message: “‘[Action Name]’ is not available in CaseMatters. Please complete this action in Proclaim to add the item to the case timeline.”
Buttons: Close (dismisses the modal without changing the task) and Mark as Complete (marks the task as complete in Case Matters once the user has carried it out in Proclaim).
These action types will be supported natively in Case Matters shortly. For now, the action must be completed in Proclaim, after which Mark as Complete can be used to clear the task from the Case Matters task list.
4. Task Detail View
Location: Expands inline beneath a task row when the task is clicked
Purpose: Surface additional information about a task and its related case, and provide quick access to common actions.
Information Displayed
When a task is clicked in the tasks table, additional detail expands beneath the row, including:
Full Task Details – the complete information recorded against the task
Related Case Information – details of the case the task is associated with
Available Actions – quick access to a number of the actions also available via the three-dot menu
Contacts & Correspondence – all contacts and correspondence related to the task
Recent Activity – recent activity in relation to the case, drawn from the case timeline
Clicking on any of the recent activity documents opens that document directly within the case itself, allowing the fee earner to navigate from a task into the wider case context.
5. Three Dot Menu
Location: Beside the action button on every task row
Purpose: Provide additional task management options for any individual task.
Available Options
View Case – open the case the task relates to
Edit Task – amend the description, due date, assignee, or other task details
Reschedule – change the due date or other timing properties
Reassign – transfer the task to a different person
Add Tags – apply one or more descriptive tags to the task
Delete – remove the task if it is no longer required
6. Bulk Actions
Location: Available across the tasks table when multiple tasks are selected
Purpose: Allow users to apply common task management actions to multiple tasks in a single operation.
Available Bulk Actions
Once multiple tasks have been selected, the following actions can be applied to all of them at once:
Reschedule – update the due date for all selected tasks
Reassign – transfer all selected tasks to a different person
Add Tags – apply tags to multiple tasks at the same time
Delete – remove all selected tasks
7. Search, Sort & Filters
Location: Above the Tasks Table
Purpose: Allow users to navigate large task lists efficiently by searching, sorting, and filtering.
Search
A search bar allows users to locate tasks by typing search terms. Searches are run against the task description and the task itself, allowing users to quickly find any task they are looking for.
Column Sorting
All columns within the tasks table can be sorted alphabetically. Clicking a column header sorts the table by that column.
Filters
Filters can be applied to narrow the tasks table by:
Status – filter by the current status of the task
Task Type – filter by task type, such as letter, memo, call, email, or other actions
Due Date – filter by due date, including the option to select a custom date range
Tags – filter by any tags applied to the tasks
8. Add New Task
Location: Top right of the Tasks Page
Purpose: Allow users to create a new task directly from the Tasks Page without needing to navigate into a specific case.
Add New Task Modal
Clicking the Add New Task button opens a modal that allows the user to create a task. The following fields are captured:
Case – select the case the task relates to (required)
Correspondent / Recipient – the correspondent or recipient of the diarised action
Task Description – a description of the task (required)
Due Date – the deadline by which the task must be completed (required)
Assignee – the user the task is being assigned to (required)
Once all required fields have been completed, the task is added to:
The user’s task list on the Tasks Page (where it appears for the assignee)
The tasks recorded against the related case on the case page itself

Actioning a Task
Locate the relevant task in the tasks table
Click the action button on the far right of the row (e.g. Send Letter, Create Memo, Log Phone Call)
The Quick Action modal opens with the case and task type pre-populated
Complete the required fields
Submit the action – the task is removed from the task list and time recording is automatically captured against the related case
Actioning an Unsupported Task (e.g. Send SMS / Send Fax)
Locate the task in the tasks table
Click the action button on the row
The Action Not Available modal is displayed rather than a Quick Action modal, indicating the action type is not yet supported in Case Matters
Complete the action in Proclaim – the modal directs the user to carry out the action there so the item is added to the case timeline
Choose how to handle the task in Case Matters:
Click Mark as Complete once the action has been completed in Proclaim – this clears the task from the Case Matters task list
Click Close to dismiss the modal without changing the status of the task

Click on the task row – additional information expands beneath it

4. Click on any recent activity document to open it directly in the case.
Using the Three Dot Menu
Locate the task in the tasks table
Click the three-dot menu beside the action button on the row
Select the required option:
View Case – open the related case
Edit Task – amend the task details
Reschedule – change the due date or timing
Reassign – transfer the task to a different person
Add Tags – apply tags to the task
Delete – remove the task

Select multiple tasks using the bulk select option in the tasks table
Choose the required bulk action:
Reschedule – update the due date for all selected tasks
Reassign – transfer all selected tasks to a different person
Add Tags – apply tags to all selected tasks at once
Delete – remove all selected tasks
3. Confirm the action – the change is applied across every selected task
Searching for a Task
Locate the search bar above the tasks table
Type the search term – the search runs against the task description and the task itself.
The tasks table updates to display only tasks matching the search criteria
Sorting the Tasks Table
Locate the column header to sort by
Click the column header – the table sorts alphabetically by that column
Click the same header again to reverse the sort order

Locate the filter controls above the tasks table
Apply one or more filters:

Due Date – select a preset range or define a custom date range

Adding a New Task
Click the Add New Task button at the top right of the Tasks Page
Select the relevant Case the task relates to
Enter the Correspondent or Recipient of the diarised action
Enter the Task Description
Set the Due Date
Select the Assignee
Complete required fields and save – the task is added to the assignee’s task list and recorded against the related case on the case page
