[New] Create and manage matters from email requests

This article explains the features of the new LegalOn. For information on the current version’s product features, please refer to this page.

When a requester emails your Matter Request Email Address, a new matter is automatically created in the [Matters] list. This guide covers managing and communicating about these email-initiated matters.

* Matters can also be created directly in the product or via Matter Intake forms. For details, see "How to create a new matter in LegalOn" and "Create and publish matter intake forms."

File requirements


  • Total file size: Approximately 10MB

  • Number of files: Up to 20

  • File name length: Up to 200 characters (including extension)


1. [Requester] Send request email

Send an email with the Matter Request Email Address in the TO/CC field, attaching contract documents or other necessary files. For instructions on confirming your Matter Request Email Address, refer to "How to confirm your email address for Matter Request."

Once the email is sent, a new matter will be created in [Matters].

If the matter creation is successful or fails, an email will be sent to both the requester and the responsible user. For settings to enable/disable email notifications, refer to:

2. Review the newly created matter

  1. Select the [All] tab on the Matter List page to review the new matter.

    • Matters where you are assigned as the matter owner and have unread messages will display a red badge.

  2. Click on the matter you wish to review.

    • Content from the request email will be reflected in the [Request Information] of the Matter Details page:

      • Email subject: Matter name

      • Email body: Request details

Troubleshooting

  • If your organization utilizes security services that automatically encrypt attachments when sending emails externally, files may not be correctly imported into LegalOn. This occurs if:

    • Attachments are automatically converted into password-protected Zip files.

    • Files are not directly attached, but rather a download URL for the file is included in the email.

    To ensure proper attachment handling, please share this help page with your company's system administrator and request that they exclude the case reception email address from automatic encryption.
    "Files attached to request emails are not directly attached to the matter."

3. Assign an assignee to the matter

Assign an assignee (and sub-assignees, if necessary) to the matter by following the instructions in the help page: "How to assign an Assignee (and an optional secondary assignee)"

4. [Assignee] Review and edit the matter

Once a matter is assigned, the assignee reviews it on the Matter List page.

Matters with unread messages will have a red badge.

  1. From the [In Progress] tab on the Matter List page, click the matter you wish to review.

  2. On the Matter Details page, review [Request Information] and [Matter Information], and edit as needed.

5. [Assignee] Reply to the requester

Reply to the requester using Matter Management.

  1. On the Matter Details page, go to the [Timeline] tab or [Mail] tab. Click [Reply] in the top right corner of the email you want to respond to.

    • A new email composition screen will open with the sender's email address already in the recipient field.

  2. Enter your reply and click [Send].

Once sent, your reply will be reflected in the [Timeline] tab and [Mail] tab. For further information on communicating with the requester and other stakeholders, and reviewing attachments, refer to "Communicating about Matters with stakeholders via Timeline and Email tabs."

💡 Info

Moving forward, when the requester and assignee "reply" to the request email, the replies will be accumulated within that matter.
