Lead Capture 3.0: Getting Started

The new lead-capture widget: a real chat UX, mobile parity, custom agent name, activity log, exports, and AI-context controls.

Lead Capture is an embeddable widget your school drops onto its own website. A prospective student interacts with it — either by filling out a form or chatting with an AI agent — and the moment they submit, Lumion creates a contact in your CRM, opens an Inbox conversation, and notifies your team. The widget gets people in the door; the CRM and Inbox is where your team works the lead.

New: route leads by their answer (August 2026)

A lead-capture form can now read a lead's answer to a dropdown question and use it to place them in the right journey and hand the chat to the right AI agent.

Route each lead to the right journey. Send leads to different journeys and stages depending on how they answer one dropdown question — for example, "Which program are you interested in?" can drop Pipe Welding leads straight into the welding pipeline's qualified stage while everyone else lands in the default journey. Rules are first-match-wins, and leads who skip the question or give an answer with no rule get the default journey and stage, exactly as before. Rules stay attached to the answer's wording, so reordering or deleting other options later doesn't mis-route anyone, and republishing a journey carries the rules over to the updated stages.

Choose the chat agent by answer too. The same answer — or a different dropdown question — can decide which AI agent runs the chat, so a prospective welding student is greeted by the right specialist from the first message, with the correct name, avatar, and greeting. Answers without a rule keep the form's default agent. If a rule's agent is ever retired or unpublished, the chat safely falls back to the form's default agent.

Any of your agents can run lead-capture chat. Lead-capture conversations are no longer limited to Marketing-team agents — the form's default agent and its answer rules can pick any live agent (Enrollment, Customer Service, or Marketing).

Safer editing. If a journey, stage, or agent a form points at has been removed or unpublished, the editor calls it out on the exact setting and blocks the save until it's fixed, instead of silently clearing the selection.

Why it matters

78% of trade school students enroll with the first school they engage with. The window between a prospect's first visit and their decision is narrow — and most schools can't manually respond fast enough to win it. Lead Capture closes that gap by capturing every lead automatically, opening an Inbox conversation instantly, and letting an AI agent continue the conversation 24/7 while your team is busy.

Two modes — choose how you want to capture leads

When you create a widget, you pick one of two modes:

AI Chat Agent — the visitor fills out a short form, then continues chatting with your school's AI agent. The agent is trained on your school's content and can answer program questions, handle objections, and offer next steps like booking a call or starting an application. This is the recommended mode for most schools.

Lead Capture Form — a classic multi-page form with no AI follow-up. Submissions go straight to your CRM. Best for schools that want a simple, no-AI experience.

Step 1: Create your widget

Go to School Dashboard → Engagement → Website Lead Capture → Create New Widget.

Pick your mode (AI Chat Agent or Lead Capture Form) and your display template. Give it a name for your own reference.

Step 2: Configure your widget

Branding

  • Set your header text, button colors, and upload a modal image

  • For AI widgets: set your agent's display name (default is "Mia" — change it to anything that fits your school's voice, like "Sam at SkillTech"), upload an agent logo, and optionally set a welcome message bubble ("Have questions?" is the default)

Form fields

Build the form your visitors will fill out — name, email, phone, program interest, and any custom questions. You can create multi-page forms with page breaks.

CTA links

For AI widgets, configure the next-step links the agent can offer: scheduling, application, financial aid, program catalog, virtual tour, or phone. These surface contextually in the AI conversation when relevant.

Hours

Set when the AI is active. Outside those hours, the widget can still capture leads and let your team follow up in the morning.

Enabled Domains

Add every domain where your widget should appear. The widget only loads on domains you list here. If a widget "won't show up" on a site, a missing domain in this list is the most common cause. Lumion automatically adds common companions (subdomains, root domain) so you don't have to enumerate every variation.

Step 3: Install the widget on your site

Go to the widget's Instructions action. Pick your platform:

WordPress

Download and install the Lumion Widgets plugin, then paste the shortcode where you want the widget to appear.

Wix

Paste a short script tag using Wix's Embed Code → Custom Element (not "Embed HTML" or "Embed a site" — they look similar but won't load the widget).

Wix note: Custom Elements require a paid Wix plan and a connected custom domain. The free-site ad bar can interfere with widget display. For embedded-link widgets, drag the element to the exact spot you want the button to appear.

HTML / JavaScript

Paste a small script snippet into your site's <head>. Works on any site or CMS.

Step 4: Set up the AI agent's knowledge

This step applies to AI Chat Agent widgets only.

The AI agent that powers your widget is the same Marketing Agent used in Customer Journey AI. It draws on your school's knowledge base to answer questions accurately.

Go to School Dashboard → Customer Journey → AI Knowledge to manage what your agent knows:

  • Add your website URL — we'll crawl it and pull the content into the agent's context

  • Upload PDFs — program brochures, FAQ docs, tuition sheets. We extract the text

  • Add Q&A pairs — write specific questions and answers directly

Important: Knowledge base changes aren't instant. After adding a new source, allow some time for it to process before the agent can use it.

The AI will not promise admission, specific scholarship amounts, or financial aid figures — it routes those questions to a human. This is intentional and designed to protect your school.

What happens when a lead submits

The moment a visitor completes and submits the form:

  1. A Contact is created (or updated) in your CRM, tagged with Lead Capture as the source

  2. An Inbox conversation opens — your team can reply directly

  3. Your team receives a new lead notification

  4. If it's an AI Chat Agent widget, the conversation continues with the AI agent until a human takes over

One important distinction: a visitor who starts the form but doesn't submit is counted as an Interaction, not a lead. A Lead Captured means the form was fully submitted and a Contact was created. Don't quote Interaction counts as leads.

Consent and opt-in — get this right

The SMS opt-in checkbox on your form controls SMS marketing consent only. Email, phone, and other channels are opted in at capture time by default. Don't tell schools "the checkbox controls all messaging" — it controls SMS marketing specifically, and the rest is handled separately by design.

Every stat has a tooltip — hover or tap to see the definition.

Activity Log

Go to the widget's View Leads action, then open the Activity Log.

The Activity Log shows every AI message sent and received — with timestamp, lead, direction (inbound/outbound), and content. Filter by lead, date range, or direction. Click Export to download as CSV.

Managing your widgets

From the widget list (Engagement → Website Lead Capture), each widget has a three-dot menu with:

  • Preview — see the widget before it goes live

  • View Leads — your leads list and activity log

  • Edit — update any configuration

  • Duplicate — copy a widget to reuse settings

  • Instructions — get your embed code

  • Create Custom Link — a shareable URL that loads the widget over any page — useful for demos or testing without touching your live site

  • Toggle Enabled/Disabled — pause a widget without deleting it

Note: You can't delete a widget once it has submissions — this protects your lead history. To stop a widget, disable it instead.

FAQs

What's the difference between an Interaction and a Lead Captured?
An Interaction means someone opened and started the form. A Lead Captured means they submitted it — that's when a Contact is created in your CRM. Only count Lead Captured numbers as actual leads.

Can I use both modes — AI and form-only — at the same time?
Yes — you can create multiple widgets, each with a different mode, and embed them on different pages of your site.

The widget isn't showing up on my site.
Check in this order: Is the widget enabled? Is your site's domain listed under Enabled Domains? Are you using the correct embed method for your platform (Wix: Custom Element, not Embed HTML)?

The AI gave a wrong answer.
Add the correct information to your knowledge base. The AI gets better as you add more specific source material. If the knowledge base isn't picking up recent changes, allow more time for processing — this can take a while after adding a new source.

Can I see what the AI is saying to prospects?
Yes — the Activity Log shows every message in both directions. Review it weekly for the first month to find gaps in your knowledge base.

The AI is going off-topic.
The AI is constrained to stay relevant to school and enrollment questions — off-topic wandering is reduced by design. If it's still happening, add more specific guidance to the agent's knowledge base or contact support.

What happens when the AI can't answer a question?
It says so and offers to connect the lead with a human — which creates an Inbox conversation assigned to your team.

Will my old AI Lead Responses settings carry over?
Your existing leads and contacts are intact. If you used the previous Lead Capture AI experience, your team should review agent settings and knowledge base content to make sure everything is configured correctly under the new system.

Can multiple team members see new leads?
Yes — new lead notifications can go to your whole team. Inbox conversations are shared and can be assigned to specific staff members.
