When a student pays your school directly instead of through Lumion, record it against the installment it pays. Lumion marks the installment settled (or partly paid), updates the balance, and stops past-due notices for anything that's now covered.
Who: School Admins · Where: Payments › Contracts › (open the contract) › Payment Schedule
When to use this
Use it for money that arrived outside Lumion:
Cash handed in at the front desk
A check mailed to the school
A bank transfer or wire straight to the school's account
A card payment taken on a terminal that isn't connected to Lumion
Don't use it for payments the student made through Lumion. Those post on their own.
Record the payment
1. Go to Payments › Contracts and open the student's contract.
2. Open the Payment Schedule tab and scroll to Payment Plan Payment Periods. Past-due periods are highlighted.
3. On the row for the installment the money pays, click Paid to School in the Actions column. (On a smaller screen, scroll the table to the right to see it.)
4. The Record a payment the school received window opens. Check the Recording against line first. It shows the payment number, contract, due date, scheduled amount and student, so you know you're on the right installment.
5. Under Amount received, choose Full instalment if the student paid exactly what was due.
6. If they paid a different amount, choose Enter a different amount and type it into Amount applied to the instalment. You can enter up to everything currently outstanding on the contract.
7. Set Date the school received the money to the day it actually arrived, not today if those differ. The window shows how far back you can go.
8. Read How this will be applied before saving. It shows the total recorded, what's Still owed on this installment, and the Estimated contract payoff after this payment. This is the easiest place to catch a typo.
9. Reference is optional: a check number, wire reference or receipt number. It shows on the payment record.
10. Note is required. Say how the money came in, for example Cash paid at front desk.
11. Tick the acknowledgement, then click Record payment.
Recording a partial payment
If the amount is less than the installment, Lumion shows Short by the difference. The amount you entered is recorded, the rest stays owed on that installment, and Lumion keeps collecting it.
Good to know
You're certifying the record. The acknowledgement matters: only record money that actually arrived, for the amount that arrived.
Check that it landed. After saving, the totals at the top of Payment Schedule (Total Paid, Outstanding Balance, Past Due, Last Payment) update.
Past-due notices stop for any installment that's now fully paid.
