📋All POS Permissions Explained

Full list of POS permissions by category with clear explanations. Use this guide when creating or editing employee roles.

🧾 Ordering Permissions

Permission

Description

Access to order sections

Allows employee to open the POS interface, send orders, and interact with the cart. Essential for anyone using the POS.

Refund order

Enables the ability to refund items or transactions. Should be reserved for managers or trusted staff.

Access all tables

Lets the user view and manage all tables—not just the ones they opened. Ideal for supervisors or shared service zones.

Change item price

Allows manual price override per item. Useful for managers, but risky for regular employees.

Change item description

Allows custom text to be entered on a product. Mostly useful in very specific kitchen note use cases.

Void item

Enables the removal of an item from an order after it has been sent to the kitchen. Commonly used when correcting errors.

Add remark

Allows adding preset or custom remarks (e.g., “No onions”, “To share”).

Add gratuity

Enables gratuity addition to the bill. Useful for banquet service or large groups. Not available in Quebec.

Do not logout

Prevents automatic logout after order is sent. Helps speed up workflow in high-volume environments.

Waiter transfer

Allows transfer of a table from one employee to another. Important for shift changes.

Cancel order

Permits full order cancellation—typically restricted to managers.

Unlock a table

Allows reopening a locked table (e.g., after payment issue or partial close). This can also be used to access a table someone has open in another workstation.

Force close check

Forces a bill to close (even with errors or unresolved items). Used very rarely, for stuck transactions.

Access to invoice history outside of current shift

Lets a user view past shift invoices. May be useful for management, but not for regular staff.


⚙️ Configuration Permissions

Permission

Description

Access all settings

Full access to all POS settings. Reserved for system admins or owners.

Customize the theme

Allows changing POS interface colors or appearance. Usually limited to system admins or owners.

Change printer settings

Grants access to modify printer configurations (e.g., assign printing groups to printers).

Change payment settings

Manage payment terminal and cash drawer.


📊 Reporting Permissions

Permission

Description

Access to report sections

Grants access to the Reports tab in the POS.

View end of day reports

Allows viewing reports generated after a shift.

Produce end of day reports

Grants permission to generate End of shift (User reports).

Generate global reading reports

Allows access to full summary reports that combine sales across multiple workstations over a selected time period. Should be a manager flow.


🧩 Miscellaneous Permissions

Permission

Description

Login without punch

Allows a user to access the POS without clocking in. Useful for roles that don’t require time tracking.

Dispatch module

Reserved for future use. This permission will enable access to the Phone Order / Dispatch screen in the POS once the feature is released.

🔧 Note: This feature is currently under development and has no effect when enabled.

Edit employee timesheets

Lets the user modify clock-in/out times. Should be restricted to management.

Access to their timesheet

Allows employee to view their own timesheet, but not others’. Good for transparency and shift reviews.


🧠 Suggestions for Use

  • Servers: Enable only ordering, remark-related features, and basic end-of-shift actions like viewing and producing end of shift reports.

  • Managers: Add refund, timesheet edit, end of day report, and access to all tables.

  • Kitchen: Disable all access to orders.

  • Admins: Grant full settings access only to trusted back office users.
