🕓 Change logs: see who changed what

Find out what changed in your back office, when, and who made the change.

The Change logs report lists changes made in the back office: what changed, the old and new value, and who made the change. It's the place to look when a price, a role or a setting changed and you need to know when and by whom.

📍 Where to find it

At the organization level, open Global Reports › Change logs. If you don't see it, ask your organization's administrator for access.

🔍 Finding a change

  1. Set the Start and End dates.

  2. To look at one location, pick it in the Company field (optional).

  3. To narrow the list, type a field or a name in Search, for example an item name.

  4. Press Search.

Each row shows the Time, What changed (for example "Item — Poutine"), the Action (Created, Updated or Deleted), the Field, the Old Value and New Value, and who made the change (By).

📋 What's recorded

Items, categories, category groups, courses, modifier groups, tags, modes, promotions, menus, printer groups, employees, POS roles, workstations, licenses, back office users and roles, and organization and location settings.

Not recorded here: sales and payments; punches and timesheets, which have their own edit history; and taxes and tax groups, which PayFacto sets up. Passwords, PINs and card numbers are never shown.

💡 A few things worth knowing

  • Picking a location also shows changes to its menu and to the organization, because those apply to every location using them.

  • Search looks at the field name and the item's name only. It doesn't search who made the change or the old and new values. To find everything one person changed, check the By column or download the list.

  • Download as CSV exports every row of your search, up to 5,000 rows.

❓ Why can't I find a change?

  • Check the date range. It covers only what's between Start and End.

  • If a location is picked in Company, changes made at other locations won't show.

  • The change may be in something that isn't recorded here (see the list above).

⚠️ If you see this message

  • "The export is limited to 5000 rows and this list has more. Narrow the filters and try again.": shorten the date range, pick a location, or add a search term, then download again.
