How to Create a Team

This article describes how you can create teams and assign facility, production line and machines.

Teams can be created to assign users to facilities, production lines, and machines. Teams help you in

  1. Reduce clutter by segmenting teams by customers/machines

  2. Empower distributors with access to their regions

  3. Fuel seamless cross-functional collaboration

  4. Offer better work and data organization for teams on the ground

Steps:

  1. Go to the Main Settings and click on the Users & Teams under the Company Settings.

  2. Go to the Teams tab on the User Accounts page.

  3. On the Teams page, click on “+ Create new team” or if there are existing teams click on the “Create team” button.

  4. Fill in the information,

    • Name (required): A name for the team.

    • Color and Icon: Choose a color and Icon to visually differentiate the teams. If no color or icon is selected, the default color and icon will be applied.

    • Team Description (Optional): Add additional information about the team.

    • Assign members (Optional): Add one or more members to the team

      • If the assigned user to this team is an assignee or follower in any of the existing work orders (which does not have this team already), the machine of its work order will be assigned to this team automatically.

    • Assign customers (Optional): Add one or more customers to the team

      • All the production lines, machines, and work orders of these customers will be assigned to this team automatically

      • The user will not be able to see the production lines and machines from the selected customers in the respective dropdowns as they will be automatically added as part of the customer.

      • If any production line or machine selected by the user before selecting the customer is assigned to the customer. The production line and machine selection will be hidden but will still be added to the team automatically.

    • Assign production line (Optional): Add one or more production lines to the team

      • All the machines of these production lines will be assigned to this team automatically

    • Assign machines (Optional): Add one or more machines to the team

      • All the work orders for these machines will be assigned to this team automatically

  5. Click "Add team" to create the team.

  6. An email will be sent to the users that they have been assigned to a team.

NOTES

The following scenarios need to be taken into account when creating the teams and assigning members to them.

  • If the admin creating a team is already a member of another existing team, he/she will automatically be part of the new team.

  • If the admin creating a team is not part of any other team, he/she will not be added to the new team.

  • The Super admin role can create new teams and assign members/admins to them but he/she cannot assign themselves to the team. The Super admin cannot be part of any team in the Makula platform.

  • Users with admin roles cannot remove themselves from the team. Only the super admin or other admin of the same team can remove the users with admin roles from the team.

  • If there is an existing work order assigned to a team member and only the machine of the work order is assigned to the team (not the facility). Then only the machine will be assigned to the team but the user will be able to see the production line and machine in the assets module and the facility in the facility module.

    • Please note, that the facility and the production line will not be assigned to the team directly, and within the production line and facility the team member will only see the machine assigned to the team.
