Steps
1. Scan the customer's ID Every check-in starts with a scan. Use a Bluetooth Socket Mobile scanner or the iPad's built-in camera. If using the camera, make sure you have good lighting. Meadow will search the database automatically after the scan.
2. Create a new customer profile If no match is found, tap Create New. Fill in the required fields for your store -- phone number is commonly required. The Referred By field captures how the customer heard about you. Choose from the existing options or tap Other to enter a custom response.
For marketing opt-in, ask the customer verbally if they want to receive SMS marketing, then tap the button on their behalf -- or turn the screen toward them so they can select it themselves. To exit that screen, tap the X and enter your PIN, or triple-tap the screen with two fingers at the same time.
Email and other optional fields can be filled in or skipped. Tap Create when the required fields are complete.
3. Add additional profile details (optional) After the profile is created, you can add email, gender, customer notes, and documents such as a photo of their driver's license or medical recommendation. You can also assign the customer to a customer group from this screen.
4. Send the customer to POS or the waiting list Once the profile is ready, tap Send to POS to route the customer to a budtender. If your store has a waiting room, tap Send to Waiting List instead.
5. Check in a returning customer Scan the customer's ID. If a match is found, their profile pulls up automatically. Tap Send to POS or Send to Waiting List. You can update any profile information from this screen -- phone number, gender, documents, or notes. Use Scan New ID to update a customer's ID on file, either because it expired or to fix an incorrectly paired ID.
6. Handle a customer without a scannable ID If a barcode is damaged or the customer has a passport, tap Skip Scanning and search for the customer manually by name or phone number.
7. Handle an expired ID Meadow will display a warning when a scanned ID is expired. You can choose to start over and turn the customer away, or proceed anyway at your discretion.
8. Handle an underage customer Meadow displays an underage warning for any customer under 21. You can start over or proceed anyway. A common use case: a customer is 19 with a valid medical recommendation. Proceed anyway to create or access their profile.
9. Check in a medical customer Scan the ID and create or open the customer's profile. Navigate to the medical section and enter their recommendation expiration date. If the customer has an MMIC card (a county- or state-issued cannabis card), enter the MMIC number and expiration date. MMIC cardholders are exempt from sales tax on cannabis purchases in California -- apply the exemption at POS or in Admin using the tax exempt button. You can also attach a photo of the medical recommendation to the profile for your records.
Tips
Name every scanner or iPad station before you start checking in customers. This makes it easier to trace any intake issues back to a specific device.
Photographing driver's licenses is not required by California state law. Some stores have stopped collecting this due to employee privacy concerns. The option is available in Meadow if your store chooses to use it.
The triple-tap-with-two-fingers gesture is a quick way to exit the marketing opt-in screen without a PIN -- useful when lines are moving fast.
Past orders are visible at the bottom of every customer profile. Use them to personalize the shopping experience and suggest products based on what the customer has bought before.
