What are Smart Reminders?
Smart reminders are designed to recognise if the completion of a form is delayed.
Configurable - Create unique rules for each assignee in the process.
Messages allow quick access for form to completion.
Administrators have clear visibility in any form distribution to see which assessments or forms are delayed or not progressing.
Enable during form distributions ensuring forms are being completed as efficiently as possible (see how).
How Smart Reminders work
A form is assigned to a user (eg an assessor)
The Med App system will calculate the date and time to remind the form assignee if they have not completed their section of the form
If the reminder date elapses, a reminder notification will be sent to the form assignee based on their notification preference (push, SMS or email)
If the form is not completed then additional reminders will be sent (the frequency of reminders is configured per form section)
If all configured reminders have been sent to the form assignee and the form is still incomplete, the form will be flagged as 'Not Progressing' to administrators. Administrators can then determine the path of action to ensure the form is completed.

How to configure Smart Reminders for each form distribution
When creating a new distribution, the section reminder settings will be inherited from the form template as a default or created during distribution setup. (Contact your hospital success manager to configure a default setting).
Configuring a form during distribution
Open any form and create new distribution
Reminders are found under 'Form Settings' in the first step 'settings'
Turn on reminders for each person you wish to receive them. You can apply unique rules for each person.
A clinician will only receive a maximum of one reminder per day. If multiple forms are overdue or not progressing, the messaging will reflect this.
Setting reminder rules
Send reminder - this is the number of days until a reminder is sent
Customise the frequency - The number of reminders sent
Flag as "Not Progressing" - this is the number of days after the final reminder was sent to then flag the form as not progressing.
Configuring a form that is already distributed
Existing distributions can be edited to add smart reminders. The system
will recognise any sections that require reminders and send them.
Open an existing form
Press the 3 dots to the right of any distribution name and click 'Edit form distribution'
Continue the steps as above.
How administrators can monitor form progress and reminders
If reminders are enabled on a form distribution, there will be additional columns that display on the forms response list view. More about how to monitor and track distributions can be seen in this article.
