Digitising Multi-Source Feedback for measuring clinical competency over time

Med App provides a digitised method of collecting multi-source feedback (MSF), a key requirement from the AMC for measuring clinical competency.

Approved by AMC: Using Med App to submit MSF has been recently reviewed and approved by AMC for meeting requirements.

Why is MSF important?

  • Provides evidence on a candidate's performance from various sources including colleagues, other co-workers (nurses, allied health) and patients.

  • Questionnaires completed by each of these groups assess a candidate’s performance over time in contrast to a specific candidate encounter.

  • Enables the assessment of proficiencies that underpin safe and effective clinical practice, yet are often difficult to assess including interpersonal and communication.

Overview of how MSF works on Med App

  1. Configuring form distribution Hospital Administrators will create a distribution; setting the minimum & maximum number of forms a recipient can complete.

  2. Starting an assessment: The candidate is notified of a form, selects a MSF from a new forms tile from the guide screen, and nominates an assessor via email or SMS.

  3. Conducting an assessment: Assessors will be notified of an assessment via email or SMS depending on the method selected and can complete the evaluation with a signature via a link.

  4. Review, download and submit to AMC: Hospital Administrators can view/export the AMC form as a PDF for submission to the AMC portal

Enabling MSF Assessment forms Med App will create 2 x MSF forms in the back end (Co-worker & Medical colleague) on request from a hospital. Click the chat icon below or email contact@medapps.com.au if it is missing.

Step-by-step process & detailed guide

1. Check Your Candidate Cohort is Setup

Having your candidate cohorts set up before sending an assessment distribution is important.

Review your current available cohorts and candidate list:

  1. Open Cohorts

  2. Review the list of cohorts

  3. Click on a cohort name to confirm the right candidates are added to your list.

  4. Click 'Add Users' button to find and add additional candidates

  5. Use the tick box to highlight and 'remove users' button

Assessor cohort: You won't need an 'Assessors' cohort for the MSF form as the candidate will be able to nominate & send a form to anyone.

2. Generate a unique distribution

Generate a new distribution under the MSF form template in the 'Forms' section of the dashboard.

  1. Open Communications > Forms.

  2. Select the MSF template from the list of available forms.

  3. Click 'new distribution'

  4. Configure distribution settings; the distribution date, close date and the minimum and maximum number of forms required to be completed.

  5. Configure clinician recipient: Select the relevant WBA candidate cohort

  6. Configure Assessor approver type:

    1. Select 'Anyone can approve' to allow candidates to distribute to any person vai SMS and/or Email (This is the preferred option for MSF as assessors are unlikely to have access to Med App).

    2. Select whether they can be sent by email or SMS. (Both are usually a safe option, as it offer the most flexibility.

  7. Check your settings are correct then click publish form. The form will now be available for the selected cohort under the 'Forms' tile on the main page of the app.

Repeat this process for the co-worker or medical colleague form depending on which you did first.

3. Notify Candidates MSF Form is Available

Once you have distributed the form you should send an Announcement (push notification) to the candidate cohort to let them know the form is available.

  1. Open Communications > Announcements

  2. Click 'Create Announcement'

  3. Enter your push notification message & sc

  4. Select recipients (The same cohort as your distribution)

If you want to track the receipt of a communication you can also send a Mailout advising the cohort of the form availability which will show read receipts.

4. Candidates Start MSF Form

A candidate will be able to see the Forms tile from the main mobile app.

  1. Open Form tile.

  2. Choose an MSF form (co-worker or medical colleague) and click 'start new form'.

  3. The candidate enters & confirms their details and hits next.

  4. Nominates an assessor via email or SMS.

  5. The assessor (Co-worker/Medical Colleague) will then be notified of a new assessment.

The status or progress of a form can be viewed by the candidate in their mobile app and the admin team via the dashboard.

5. Conducting an assessment

Assessors will be notified of an assessment via email or SMS depending on the method selected and can complete the evaluation with a signature via a link.

6. Viewing results - Dashboard Users

Forms in progress or completed forms can be viewed in the dashboard under the desired distribution.

  1. Open Communications > Forms in Med App

  2. Select a form by clicking on the name

  3. Click a distribution name to see results

7. Download Forms or Feedback Data

Dashboard users can download the completed approved PDF forms directly from the dashboard for submission via the AMC portal. You can also download an Excel export of the data for updating the blueprint or WBA tracking documents.

Downloading individual PDF forms

  1. Click the PDF icon to preview the completed form.

  2. Once opened hit the download icon.
