Add or Invite a New User

As an admin user, you are able to invite new users to your Mediatool account whenever you need.

Invite a New User

⚠️ Only Admin-level users can add new users.

Steps to Add a New User

  1. Navigate to the User & Roles subsection of the organizational Settings (parent level).

  2. Click the green "Add Users" button at the top.

  3. Enter the new user's email.

    1. To create multiple accounts simultaneously, separate each email address with a comma (,).

  4. Choose the level of access for each user.

    1. Make sure to click on each user to set their specific access level.

  5. Click Invite User.

User Roles

  • Admin Access: Full access to change all organizational settings.

  • Editor Access: Ability to enter data and update or change plans.

  • Viewer Access: Can only view data.

⚠️ If you grant a user access to a Top-Level account (e.g., global or agency account), they won’t automatically have access to all connected clients or subsidiary accounts. You'll need to manually select which connected accounts they should have access to.

Invitation Email

The new user will receive an invitation email from Mediatool. This email may sometimes land in spam or junk folders, so please ensure the new user checks those folders if they don’t receive the invite.

If the new user doesn’t receive the email in either their regular or junk inbox after a reasonable waiting period, they can visit the log-in page and click on Forgot Password. This will send a reset link via email.


Restricted Fields and Protected Resources

When adding a new user, consider any restrictions enabled within your organization’s account:

  • Restricted Fields: Toggle the restricted setting as necessary to specify if the new user should be restricted.

  • Protected Resources: Make sure to provide access to relevant tag options so that the user can tag and view associated data, while remaining restricted from any protected data they should not access.
