Overview

Creating an invoice for a booking is a critical process in marina management, ensuring accuracy in financial transactions and promoting transparency with boaters. This guide will walk you through the steps to efficiently create and export invoices from a single booking.


Steps to Create an Invoice

Step 1: Navigate to a Specific Booking

To begin, access the 'Booking' page for which you need to create an invoice. Navigate to this page as invoices are directly linked to individual bookings.

Then, click 'Process Charges' to view the 'Charges' tab.

Step 2: Prepare Charges for Invoicing

Verify that all charges related to the booking have been accurately recorded. These may include berth fees, utility charges, and any additional services utilized by the boater.

Note: An invoice cannot be created without first adding charges to the booking.

Step 3: Add Charges to an Invoice

Once charges are in place, proceed to the Not Invoiced tab within the Charges section. Here, you can select the relevant charges that you wish to include in the invoice.

Then, simply check the boxes next to the desired charges and click the Add to Invoice button to consolidate them into an invoice.

Step 4: Review and Finalize

After adding charges to the invoice, verify the details to ensure accuracy. Then when you are certain that all Invoice details are correct you need to finalise the process by clicking on Issue invoice.

Note: Remember, once an invoice is issued, it cannot be modified. Please ensure all details are correct before finalizing.

Step 5: Manage and Export Invoices

After the invoice is finalized, it will appear under the 'Invoiced' tab, which serves as both a reference and a tracking tool.

From here, you can export invoices using the dropdown menu on the top-right of the tab. Export formats available include XLS, CSV and PDF, facilitating easy integration with your accounting systems or for detailed analysis.
