Operators now have the option to add passengers and booking contacts to trip calendar invites seamlessly through Google Calendar. This feature keeps everyone involved updated with trip details and simplifies coordination. Designed to be flexible, you can set invites on a per-trip basis or send invites by default across all trips.
How Google Calendar invites can help you
Improve Communication: All relevant trip details (pick up, drop off, date, time, driver) appear directly on participants' Google Calendars, reducing the need for back-and-forth communication.
Increase Professionalism: Giving passengers and booking contacts instant access to trip events in their calendars can elevate the service experience and streamline business processes.
Reduce Manual Effort: Once enabled, calendar invites are managed automatically by Moovs, saving time and effort for operators and dispatchers.
Use cases:
Corporate Accounts where Executive Assistant and Executives need to be up to date on trip details
Travel agencies can make sure the passengers they booked reservations for are kept in the loop automatically
Passenger experience enhancement, as invites keep them informed about upcoming trips, providing a professional experience where customers have instant access to trip details.
Setting Up Calendar Invites
1. Connect Your Google Calendar
To use calendar invites, connect and authorize your Google Calendar in the Operator App.
Go to Operator App > Settings > General > Moovs Market.
Select Google Calendar and follow the authorization steps.
2. Enable Calendar Invites for Booking Contacts and/or Passengers
You can set up default invite preferences or adjust settings per trip. You can find these options in:
Operator App > Settings > General > Communications > Contacts
Here, you’ll see two options:
Add Booking Contacts to Trip Calendar Invites
Add Passengers to Trip Calendar Invites
Note: Both toggles are off by default. You can enable them as needed, or adjust these settings for individual trips.
Customizing Invites Per Trip
In addition to general settings, you can customize invite preferences for individual trips:
Go to the Trip and select Invite from the top right menu
If Google Calendar is enabled and authorized in the Moovs Market, the “Invite” option will be displayed.
Use the pop-up to adjust the following settings:
Booking Contact Invite: Toggle on/off to add/remove the booking contact.
Passenger Invite: Toggle on/off to add/remove the passenger.
Confirm any changes to the invite guest list and click Save.
Guests Overview in Pop-up
Organizer: The user whose Google Calendar is linked to the operator account
Driver: Appears in the guest list if they have an email in their profile and they have been assigned to the trip.
Booking Contact & Passenger: Can be toggled on/off based on trip-specific or general settings.
Troubleshoot an invite that shows the wrong time
Moovs creates the event using the trip's pickup time and the pickup stop's time zone. When a drop-off time is available, the event end uses the drop-off stop's time zone. Google Calendar can display those times in the viewer's calendar or device time zone.
Confirm the pickup and drop-off addresses, dates, and times in Moovs.
Check the primary time zone in the recipient's Google Calendar settings.
Check the device's date, time, and time-zone settings and enable automatic time-zone adjustments.
If you corrected the trip in Moovs, allow the live calendar event to update instead of creating a separate manual event.
If the Moovs trip is correct but the invite remains wrong after syncing, select the ? in the Operator portal and start a chat with the Support team. Include the trip confirmation number and the time shown in each system.
For issues outside Google Calendar, see Troubleshoot a Trip Showing the Wrong Date or Time.
