Configuring communication consent for VGM & the booking system

To configure the communication consent sections within your booking system, follow these steps:

  1. Navigate to the "Config" section in the top menu, then select "Settings."

  2. Within the settings, choose the "GDPR" tab.

Configuration Options

Consent Duration (months)

Set the default consent duration, measured in months. Consent expiry will be calculated based on this value. When adding consent within VGM, the expiry date will default to this number of months past the current date.

SMS / Email Label

Define the labels that display next to the SMS and Email checkboxes within the booking system. Suggestions for this field include "SMS" or "Send me SMS Messages."

Pre-tick

Specify whether the SMS and Email checkboxes within the booking system are pre-ticked by default when loaded. According to GDPR guidelines, consent checkboxes must be opt-in and thus should not be pre-ticked by default. We recommend leaving these unticked.

Preamble

Customize the text that appears before the SMS and Email checkboxes within the booking system. This allows you to provide specific information about the types of messages affected by granting or withholding consent.

Privacy Policy

Display the privacy policy within the booking system alongside any request for communication consent. Privacy policies contain vital information about how you collect, store, and use data from your customers. Customers expect you to adhere to your privacy policy when handling any of their data.

Configure Consent Management Expiry Warnings

In the Communication Consent Management grid, which you can find by going to "Messaging>Communication Consent," a traffic light system is utilized to identify potential issues with communication consent within your customer base.

  • Green consent date: Indicates current consent to send messages to that customer.

  • Red consent date: Indicates that consent for that customer was never granted, has expired, or has been revoked.

  • Amber consent date: Indicates valid consent for that customer, but it will expire soon.

By default, the Amber warning displays if the consent is due to expire within the next three months.

However, you can adjust this warning threshold to suit your requirements.

To adjust the Consent Expiry warning threshold:

  1. Open the Consent Management window.

  2. Click on the "Config" button in the top-right corner of the window.

  3. In the configuration window, ensure that "Show Expiry Warnings" is selected.

  4. Adjust the Expiry Warning Threshold to your desired value in weeks.

  5. Click "Save" to apply your changes.
