One of the main reasons we refactored the parts system was to include the ability to send orders directly to GroupTyre from within VGM. The beauty of the way this works, is that the order is automatically added to their system – so long as you get a confirmation code back you can rest assured that your tyres will arrive.

You can place an order with GroupTyre in 2 different ways – from the tyres screen, and from a jobsheet. For the sake of this walkthrough, we’ll be focusing on approaching this from the tyres window. To get an idea of how this works from a jobsheet you should read Searching for tyres from a jobsheet.

To create a purchase order and send it to GroupTyre, follow these steps:

  1. Go to 'Parts / Tyres > Tyres' in your system.

  2. Use the search mode 'VRM' to find tyres for a specific vehicle.

  3. Double click on the tyre you want to order. This will open a popup window with the tyre details.

  4. Choose the quantity of tyres you require and select the supplier from whom you want to order the tyres.

  5. Click on 'Send order to Group Tyre'. This will initiate the order process.

  6. A confirmation popup will appear indicating that your order has been accepted. You'll receive a MIDaS Order Number. Ensure the order status is 'Accepted'.

  7. At this point, a purchase order will be automatically generated. You don't need to create one manually.

  8. Close the popup window and return to the tyres window. You can find the newly created purchase order under the 'Purchase Orders' tab at the bottom.

To build up a purchase order containing multiple tyres and send it to GroupTyre:

  1. Double click on the first tyre you want to order. Instead of sending the order immediately, click on 'Add to purchase order'.

  2. If you don't have an open purchase order, a new one will be automatically created for you. Enter your reference for the purchase order.

  3. Select additional tyres and click 'Add to purchase order' to add them to the same purchase order.

  4. Once you've added all the tyres to the purchase order, navigate to the 'Purchase Orders' tab in the tyres window. Select the open purchase order and click 'Send order to GroupTyre'.

  5. A popup window will confirm that your order has been successfully placed.
