Managing Recurring Donations on Behalf of Donors

Instructions and best practices for setting up recurring donations on behalf of your donors

Recurring donors are an important part of your donor base, and sometimes there are circumstances that require you to manage recurring donations on your donor's behalf.

Before You Begin

First, make sure that you are logged into your Fundraising Pages account. If you're logged into Donor Management and are viewing your Dashboard, you can navigate to Fundraising Pages by clicking on the "My Tools" button in the top right corner, and selecting "Fundraising Pages" from the drop down options.

Once you're logged into Fundraising Pages, you'll want to select the "People" tab from the available options towards the top of your screen, and select the option for "Donors/Fundraisers."

From that screen, you can look up the donor in question by their last name or email address.

If your donor doesn't already exist in the system, you can follow the instructions below for "new" donors. If they do already exist in the system as a donor, you can follow the instructions below for "existing" donors.

Setting Up Recurring Donations for NEW Donors

As an important note - we can provide guidance on how to navigate this process, but please note that we do not recommend setting up recurring donations on your donor's behalf as a general rule. We understand that sometimes there are extenuating circumstances that may require you to do this for a handful of donors, but you should encourage donors to set up their own donations for two big reasons:

  • They need to set up an account with credentials so they can access their info at a later date, and

  • They should be going through the site so they can accept our terms & conditions and receive a receipt to their email

If you still want to set up a recurring donation on behalf of your donor, you can follow the steps below.

First, we strongly recommend that you perform the following steps in an "incognito" or "private" browser. This is to ensure that the recurring donation is not only set up for the correct donor, but that their information then isn't accidentally used in the future.

You'll want to first locate the campaign page in Fundraising Pages (from your "My Campaigns" page) that your donor would like their recurring donation tied to.

You'll want to click on "Visit Page" on that campaign page's "tile", which should open up the donation page in a new tab or window.

At this point, you'll want to act as if you ARE the donor, and select the amount and frequency of the donation that they'd like to set up.

You can then follow the steps to set up the profile, either using an email address they've provided for you - or you can use a "dummy" email that they can use to receive their donation receipts moving forward.

Once the donation has been set up, you can process the payment as you normally would through the donation page.

We also strongly recommend that you close the incognito or private window every time you set up a different recurring donation or process a payment on behalf of a donor, to ensure no information is incorrectly "auto-filled."

Setting Up Recurring Donations for EXISTING Donors

Setting up recurring donations on behalf of an existing donor can be a little bit trickier - but not to worry, it's still possible!

You will need to set up a "dummy" email on behalf of the donor for this purpose first, but we'll walk you through how to do that below.

We strongly recommend that you perform the following steps in an "incognito" or "private" browser. This is to ensure that the recurring donation is not only set up for the correct donor, but that their information then isn't accidentally used in the future.

You'll want to first locate the campaign page in Fundraising Pages (from your "My Campaigns" page) that your donor would like their recurring donation tied to.

You'll want to click on "Visit Page" on that campaign page's "tile", which should open up the donation page in a new tab or window.

At this point, you'll want to act as if you ARE the donor, and select the amount and frequency of the donation that they'd like to set up.

You'll then be prompted to log in. You'll want to log in using that dummy email you created on behalf of this donor, and then you can process the payment as you normally would through the donation page.

Once the donation has been processed, you can then go back to your "My Campaigns" page in Fundraising Pages. You can then select "People" from the available menu options, and select "People/Fundraisers" from the available drop-down options.

From this page, you can search for the "dummy" email account to find the new donor profile; you can then edit that donor profile and update the email address listed to instead reflect the donor's true email. (In other words, you can replace the dummy email with the correct email address!)

Then, you'll want to select "Save & Exit" towards the top right of your screen.

For the last step, once you've saved the updated donor record, you click on the "Actions" button next to the donation that was just processed, and select the option for "Details" from the drop-down options.

Once the page reloads, you can click on the "Details" button in the top right corner, and select "Resend Receipt" from the available options. This will ensure that the receipt from the recurring donation you just set up will be delivered to your donor's actual email.

Setting Up a "Dummy" Email

The easiest way to set up a "dummy" email for a donor whom your need to process donations for, but don't have a corresponding email address, is through the creation of a new Gmail account.

We recommend using Gmail, because you can set up a generic account for your organization and create individual "sub-emails" for each donor that may need this type of assistance. This then allows for all of these types of emails to be sent to that one generic account - but for you to be able to specify which receipts belong to which recurring donors, and send them out accordingly.

For example - we recommend setting up a generic email for your organization, such as "mynonprofitgroup@gmail.com".

Once you've done that, you can then simply add "+XXXX" to that existing email address, such as "mynonprofitgroup+donorfirstandlastname@gmail.com," or "mynonprofitgroup+donorID30234@gmail.com." All of the messages sent to those email will be sent to the "mynonprofitgroup@gmail.com" email inbox - but you'll be able to differentiate which specific email address it was sent to through the information included after the "+".

Stopping or Restarting a Recurring Donation on a Donor's Behalf

If you're asked to stop a recurring donation on a donor's behalf - or restart a recurring donation that has been stopped - you can do so directly from within Fundraising Pages.

Once you've logged into Fundraising Pages, select the option for "Donors/Fundraisers" at the top of your screen.

On the next page, please begin typing the name or email address of the donor whose donation you are trying to cancel. Names should auto-populate in a drop-down menu, and you can select the appropriate donor from that list.

Once you've clicked on that donor, you should then be directed to their "Donor Overview" page. From this page, you should be able to see all recurring donations that this donor has created with your organization. (You may need to scroll down past prior individual donations that the donor has made.)

Once you've located the recurring donation in question, you can click on the "Actions" button next to the donation, and select the option to "Stop" from the drop-down options.

Updating Payment information for a Donor

Supervisor-level admins are able to update payment information on behalf of donors, as long as they are given a valid method of payment to enter.

Once you've logged into Fundraising Pages, select the option for "Donors/Fundraisers" at the top of your screen.

On the next page, please begin typing the name or email address of the donor whose donation you are trying to cancel. Names should auto-populate in a drop-down menu, and you can select the appropriate donor from that list.

Once you've clicked on that donor, you should then be directed to their "Donor Overview" page. From this page, you should be able to see all recurring donations that this donor has created with your organization. (You may need to scroll down past prior individual donations that the donor has made.)

On the left-hand side of the screen, you should see a box labeled "Billing Information." To update the payment information, simply click on the button labeled "Replace Existing," and enter the new payment information.

Once you are ready, click "Save" - this should then update the payment method to that new payment and the donation will process normally moving forward.

Your donor can also update this payment on their own, by logging into their donor account through Fundraising Pages. If the donor requires assistance in updating that information, you can either send them these steps, or you can encourage them to call our Support team for further assistance.
